What you will be doing in the role of a Participant Engagement Administrator

The primary objective of the Participant Engagement Administrator is to provide support for activities aimed at ensuring that individuals from diverse populations of breast cancer survivors and people living with metastatic breast cancer fully enroll in and remain engaged over time with ShareForCures (SFC), Komen’s breast cancer research registry. 

What you will bring to the table

  • Support the implementation of the strategy and related tactics that facilitate conversion of individual leads generated by the SFC cross-functional recruitment team into fully enrolled participants. Engage, communicate with and support individuals to provide them with information about SFC and guide them through the onboarding process to become fully enrolled participants. Assist with the creation of materials (e.g., emails, presentations, newsletter, etc.) needed to support the enrollment and retention of SFC participants. 
  • Serve as a point of contact for and respond efficiently and professionally to inquiries about SFC, following SOPs and utilizing IRB protocol approved materials and communications. Manage existing and propose new communication templates. Participate in internal and external events to increase visibility of SFC, as assigned. 
  • With a goal of retaining participants, manage the day-to-day activities of SFC participants, including assigning tasks to participants in SFC, communicating with participants related to tasks and other aspects of their participation in SFC, and sharing other information (including information about SFC research, other research opportunities and Komen news) with them via the SFC dashboard and other channels or forums. 
  • Assist with the development of SOPs and other documentation required to support the day-to-day activities of and participation in SFC. 
  • Perform all activities in compliance with conducting research with human subjects and with all Komen’s policies and procedures. Escalate significant issues to Participant Engagement Manager or Sr. Director, Data Science, as needed. 
  • Assist with collecting information and creating reports and other content about SFC to keep stakeholders apprised of key accomplishments and activities. Conduct and summarize background research related to participation in research and/or registries and use of health data, as assigned. 
  • Work collaboratively with other teams to deliver on specific programmatic needs, including program monitoring and evaluation, and coordinating ongoing internal/external communications as needed. 
  • Perform a broad range of administrative activities including scheduling, meeting planning and logistics (online and in-person), and communication across multiple program sites. Develop detailed work plans, schedules, project estimates, resource plans, and budgets. Create new template documents, materials, reports, and other assets, as assigned. ensure complete and accurate records are captured and compliance is maintained. Help with making travel arrangements and managing related documentation. Track expenses and assist with identifying budget variances. Ensure accurate and timely vendor payments and expense reimbursements.
  • Coordinate with Sr. Project Manager, Data Science to ensure consistency with department and organization policies and procedures. 
  • Provide support for and coordinate the activities of external advisors, committees, focus groups, and working groups in support of SFC, as assigned. 
  • Perform other duties as assigned and on time. 

We know you will have and be able to

  • Bachelor’s Degree in Health Education, Health Communication, Social Work, Social Science, Public Health, or related field . 
  • 2-5 years of experience supporting health research, health initiatives, recruitment of individuals in research, and/or scientific projects.
  • Strong organizational and administrative skills; detail oriented. Proven ability to manage multiple projects simultaneously and to perform in a large, complex workflow with multiple deadlines, data points, and priorities. 
  • Excellent interpersonal and communications (writing and speaking) skills.  Ability to communicate effectively with individuals at different organizational levels and from all walks of life. Instinctive service and customer relationship skills. 
  • Intermediate level of computer/technical skills, including proficiency with Microsoft Office Suite and SharePoint required. Proficiency with contact management (Salesforce) and collaboration tools (Asana) preferred. 
  • Self-motivated and willing to take responsibility and ownership for timely and high-quality work. Ability to follow instructions and execute plans. 
  • A team-oriented attitude, strong cross-functional collaboration skills, and proven ability to work in a matrixed, global organization with remote staff. 
  • Shows positive approach to work, flexibility, innovation, cultural awareness, sensitivity to relationships, and confidentiality.
  • Ability to travel up to 25%

We would love it if you also have

  • Experience working with diverse communities, particularly those underrepresented in research, including planning, and implementing meetings and targeted community engagement initiatives. 
  • Experience in community relations, community partnerships, and/or health education/communications with diverse stakeholders, such as external advisory boards, patients, community-based organizations, and alliances. 
  • Experience in non-profit program management, including in planning and implementing targeted community engagement initiatives, preferably in a health or disease-focused organization 
  • Proficiency in Spanish, (oral and written), including research/technical Spanish, a plus.

  • Approximate hourly rate of $21.24-$28.71; exact compensation ranges are based on various factors including the labor market, job level, internal equity and budget. Exact salary offers will be determined by factors such as the candidate's skills, experience and geographic location.
