SCOPE:
The Operations Specialist is responsible for the operational, logistical and administrative responsibilities in a market environment. The position can assist various market staff with data entry, mailing, record keeping, telephone, email correspondence, event support and other responsibilities associated with local level operational tasks.

RESPONSIBILITIES:

Office Management Duties

  • Open and distribute mail bi-weekly according to our cash handling policy from PO Box.
  •  Maintain office supplies and inventory.
  • Answer telephone calls and general email inquiries, respond to requests for routine information or refer to appropriate staff.
  • Prepare meeting/event materials and provide meeting support.
  • Coordinate and manage support volunteers or volunteer engagement activities. Ensure timely submission of donations.

Data Management

  • Perform basic operational data entry tasks in CRM and event management database/systems to support fundraising events.
  • Prepare information to submit to Data Entry Center.
  • Ability to run standard reports from event management database/systems and serve as market level expert and be able to provide analysis of reports.

Fundraising Support

  • Serve as liaison to Centralized Logistics Business Partner for market events.
  • Assist event lead staff with planning, coordinating and executing market events as it relates to logistical and operational needs.
  • Support operational preparation for day-of or night-of event execution.
  • Order event supplies.
  • Support Market Staff through scheduling of meetings, preparation for meetings, taking minutes, and communication with volunteer leaders as directed.
  • Serve as tech expert for market including utilization on all database/systems functionalities.
  • Support Market Staff by managing sponsorship deliverables.
  • Collect sponsorship commitment forms, request invoices, manage payment collection in partnership with March of Dimes Finance Business Partner.
  • Attend market events and serve as on-site logistics lead.
  • Support market events as directed by Executive Director.

Additional Operations Support

  • Assist locally in executing foundation policies for procurement and operational efficiencies.
  • Be familiar with the market budget, including DDBs for events, and support Executive Director in ongoing management.
  • Be familiar with other market management reports such as the P&L and help the Executive Director review.
