Job description

This is a remote position.

35 hours a week
  • Regular schedule Monday-Friday, 9:00 AM - 5:00 PM Pacific Time (includes 1 hr unpaid break)
  • Will scale to 40 hours in a month or two

Responsibilities:
  • Manage executive calendar and email communications
  • Attend and document bi-monthly board meetings
  • Process expense reports and handle file management
  • Coordinate and oversee administrative projects
  • Liaise between teams and departments
  • Take initiative on identifying and resolving operational issues
  • Provide proactive support to executive leadership
  • Maintain efficient office operations and workflows

Scope:

  • Initial 35 hours/week with potential to increase to 40 hours
  • Regular schedule Monday-Friday, 9:00 AM - 5:00 PM Pacific Time
  • Bi-monthly board meetings requiring extended hours until 6:00 PM
  • Reports directly to Executive Director
  • Interfaces with internal teams and external stakeholders
  • Remote position with full integration into organization’s systems
  • Three-month probationary period

Requirements
  • Previous executive assistant or similar administrative experience is a must
  • Strong project management capabilities
  • Excellent communication and interpersonal skills
  • Demonstrated leadership background
  • Ability to work independently with minimal supervision
  • Professional maturity and proactive mindset
  • Strong organizational and time management skills
  • Proficiency in standard office software and tools
