Job description

This is a remote position.

Administrative Assistant

Schedule: Monday to Friday, 8:00 AM – 5:00 PM, with a 1-hour unpaid break | California, (Pacific Time) 
Paid hours per week: 40 hours


About the Role:

We are looking for a highly organized and reliable Remote Administrative Assistant to support our team with a variety of administrative tasks. You’ll play a key role in ensuring smooth day-to-day operations while working independently from a remote location.


Responsibilities:
  • Manage calendars, schedule meetings, and coordinate appointments.

  • Answer and respond to emails and phone calls in a professional manner.

  • Prepare, organize, and maintain digital files and records.

  • Draft correspondence, reports, and other documents as needed.

  • Assist with data entry, CRM updates, and information tracking.

  • Coordinate with internal teams and external partners.

  • Monitor project timelines and follow up on outstanding tasks.

  • Perform basic bookkeeping or invoicing tasks (if applicable).

  • Support general administrative tasks and special projects.



Requirements
  • Proven experience as an Administrative Assistant, Virtual Assistant, or similar role.

  • Strong organizational skills with attention to detail.

  • Excellent written and verbal communication skills.

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and/or Google Workspace (Docs, Sheets, Calendar).

  • Comfortable using CRM platforms, task management tools, and other remote communication tools (e.g., Slack, Zoom).

  • Ability to manage time effectively and work independently with minimal supervision.

  • Reliable internet connection and a quiet, professional remote working environment.

  • Availability to work Pacific Time hours.
