This is a remote position.

Role Name: Administrative Support Specialist

Schedule:

  • Mountain Standard Timezone up to 20 hours a week, generally 4 hours a day within 8am-5pm

Client Timezone: Calgary, Alberta (MDT/MST)

Responsibilities
  • Process and manage a high volume of compliance-related communications, handling 40-80 daily automated emails with precision and attention to detail
  • Serve as a key liaison between the company and clients through Hubspot CRM, maintaining professional and efficient communication channels
  • Execute document management workflows across multiple industry-leading compliance platforms including ISNetworld, Avetta, and ComplyWorks
  • Coordinate the collection, verification, and processing of critical compliance documentation, including insurance certificates and safety records
  • Maintain accurate digital filing systems and ensure proper documentation organization across multiple platforms
  • Support client compliance maintenance through proactive document tracking and timely updates
  • Collaborate with team members to streamline administrative processes and enhance operational efficiency
Requirements
  • Demonstrated proficiency in modern business tools including Microsoft Office suite and Google Workspace
  • Experience with CRM systems, particularly Hubspot, or ability to quickly learn new platforms
  • Strong digital literacy with the capability to adapt to various online compliance platforms
  • Exceptional attention to detail and organizational skills
  • Professional written communication abilities in English
  • Self-motivated with excellent time management and multi-tasking capabilities
  • Experience in handling confidential information with discretion
