Job Title: Operations Assistant

Job Overview:

We are seeking a proactive and detail-oriented Operations & Administrative Assistant to support our Product Education team. This part-time role is ideal for a self-starter with strong project planning and execution skills who is comfortable working in a fast-paced, globally distributed team environment. Key responsibilities include managing team inbox, assisting with customer and partner inquiries, administering the Learning Management System (LMS), maintaining data in Salesforce, and organizing the team’s online file repository. Additionally, you will oversee various e-commerce and website updates, collaborate with sales to support invoicing for purchase orders, and ensure the brand consistency of training materials.

Key Responsibilities:

  • Inbox & Customer Support: Monitor, organize, and respond to team and training department inbox emails promptly. Engage with customers and partners to provide front-line support, assist with training inquiries, and troubleshoot.
  • LMS Administration: Manage the company’s LMS (Litmos), including user provisioning/deactivating/password resets, troubleshooting, and conducting testing.
  • Data Management: Maintain accurate and organized data in Salesforce, supporting certification programs.
  • System Troubleshooting & E-Commerce Support: Provide basic system troubleshooting and address any issues with the e-commerce platform (Shopify).
  • Sales Support: Collaborate with the sales team to produce invoices (sales orders) for customers wishing to pay via purchase order, ensuring accuracy and timeliness in processing.
  • Website & Content Updates: Make necessary updates to website pages to ensure accurate information and ease of use for customers/partners, working with relevant teams as required.
  • Documentation & Project Support: Update and improve process documentation. Lead small to medium-sized projects with strong planning and execution to meet objectives and enhance team operations.
  • Training Material Branding: Collaborate with instructional designers to update branding on training materials, ensuring consistency with company guidelines and a cohesive learner experience.
  • File Repository Organization: Clean up the team’s online file repository by developing an intuitive folder structure and organizing files for easy access and improved workflow efficiency.
  • Cross-functional Collaboration: Work closely with internal teams and customers across various time zones, ensuring effective collaboration within a globally distributed environment.

Requirements:

  • Self-starter with a proactive approach to work, able to handle minimal guidance, manage multiple projects, and adapt to changing priorities in a fast-paced environment.
  • Experience in administrative, operations support, or customer-facing roles, preferably with a global or remote team.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, OneDrive).
  • Strong project planning and organizational skills.
  • Strong written and oral communication skills, with a customer-oriented approach to engagement.
  • Experience with HTML and website content management is a plus.
