About The Role

A sharp, tech-savvy Virtual Assistant who specializes in Google Sheets, automation, and business systems. You’ll be working directly with the business owner across multiple automotive brands to build, improve, and maintain powerful business trackers and dashboards.

You’ll be the go-to person for keeping our systems clean, connected, and running smoothly — turning messy info into structured, automated clarity.

Responsibilities

  • Create and update job trackers (Google Sheets) for various business units
  • Maintain dropdowns, formulas, and conditional formatting logic
  • Automate weekly reports and summaries across jobs, performance, and finance
  • Support dashboard creation — clean data > visual insights
  • Integrate lead sources (e.g. JotForm, Wix Forms) into master sheets
  • Keep everything up to date, tidy, and easy for the team to use
  • Flag errors, suggest improvements, and help the owner stay ahead of potential problems
  • Build and maintain smart Google Sheets that:
    • Track jobs, profits, staff performance, and customer data
    • Include formulas, conditional formatting, dropdowns, validation, and automation
    • Link across departments (Alloys, Bodywork, PDR, Car Sales, Finance)
    • Feed real-time dashboards and AI-generated reports
    • Reduce manual work through logic, scripts, and smart design
Competencies And Qualifications

Must-Have

  • Proven experience building advanced Google Sheets with formulas, lookups, and structure
  • Familiar with conditional formatting, data validation, logic-based automation
  • Comfortable working with business owners and understanding operations across different teams
  • Able to take messy or unstructured info and make it clear, useful, and automated
  • Genuinely excited about building systems that scale
  • Reliable, proactive, organised — you get things done without waiting to be chased

Nice-to-Have

  • Experience with Google Apps Script or Zapier for automation
  • Understanding of small business operations, ideally in trades or automotive
  • CRM knowledge (e.g. HubSpot)
  • Strong written English for documenting systems or SOPs
