  • Monday to Friday 9am-6pm (California, PDT)

Client Time zone: Pacific Time (Los Angeles, CA)

Job Description

Take on an integral role in a growing legal funding organization where you’ll combine executive assistant duties with personal injury case coordination. Responsibilities
  • Serve as the primary point of contact for client communication, delivering exceptional customer service in both English and Spanish
  • Manage client intake process through phone and digital channels, ensuring accurate information collection and documentation
  • Coordinate personal injury case documentation, maintaining meticulous attention to detail and confidentiality
  • Process and organize sensitive medical records following strict HIPAA compliance protocols
  • Utilize Salesforce CRM to maintain detailed client records and track case progression
  • Handle professional correspondence and documentation through Google Workspace
  • Manage incoming calls via RingCentral, providing responsive and empathetic client support
  • Assist with executive-level administrative tasks and daily operations
  • Coordinate with internal team members to ensure smooth case processing and client satisfaction


Requirements

  • Professional fluency in both English and Spanish with excellent verbal and written communication skills
  • 3-5 years of experience in legal administrative support or similar role
  • Demonstrated expertise with modern business tools including Salesforce, Google Workspace, and VoIP systems
  • MUST HAVE WINDOWS OS COMPUTER
  • Strong customer service orientation with a professional and empathetic approach
  • Located in Latin America with ability to work Pacific Time Zone hours
  • Reliable high-speed internet connection and computer with minimum 8GB RAM
  • Professional-grade headset for client communications
  • Experience handling confidential information and HIPAA compliance preferred
  • Exceptional attention to detail and organizational skills
  • Ability to work independently while maintaining strong team collaboration
  • Background in legal or medical administrative work is a plus
