Job overview:

As a Global Talent Operations Associate, you will provide administrative and operational HR support to our Canadian colleagues, with a focus on onboarding, benefits administration, HR compliance, and employee support to ensure smooth HR operations. You will work closely with the Global Talent Operations Manager to implement HR best practices in alignment with global policies.

In this position, you will:
 
1. Facilitate Employee Onboarding & Offboarding:
·        Coordinate the onboarding process for new hires, ensuring timely completion of new hire documentation and background checks.
·        Serve as a primary point of contact for new hires, providing guidance on onboarding materials and HR policies.
·        Assist with setting up employee accounts, coordinating system access, and ensuring a smooth onboarding experience.
·        Support offboarding activities, including final payroll coordination, exit interviews, and benefit termination processes.
 
2. Administer Benefits & Leaves of Absence:
·        Assist employees with benefits enrollment, plan changes, and general inquiries.
·        Conduct benefits orientation sessions and provide ongoing education on benefit offerings.
·        Process and track leave requests, ensuring compliance with regional labor laws.
·        Maintain accurate records of leave balances and communicate with employees and managers regarding return-to-work plans.
·        Collaborate with benefits providers and payroll teams to ensure accurate deductions and compliance.
 
3. Manage Employee Data:
·        Enter and update employee information in HRIS, ensuring accuracy in records related to benefits, leave, and personal details.
·        Run reports and audits to validate HR data, assisting with system updates and enhancements.
·        Collaborate with HRIS and Payroll teams to address any discrepancies in employee records.
 
4. Provide Employee Support & Communications:
·        Prepare employment verification letters, business travel letters, and other HR-related documentation.
·        Manage and update the regional HR SharePoint site, ensuring employees have access to up-to-date policies and resources.
·        Communicate changes in policies and procedures to employees, providing guidance as needed.
 
5. Support Compliance & Policy Updates:
·        Stay informed about local labor laws and HR best practices to ensure compliance.
·        Assist in monitoring compliance with HR policies and escalate concerns to the HR Manager when necessary.
·        Support HR compliance initiatives, including data audits and documentation tracking.
 
6. Support Special Projects & Admin Tasks:
·        Assist with regional HR projects, including engagement surveys, process improvements, and data collection.
·        Provide administrative support to HR leadership as needed.
 

For this position, you will have:
  • Bachelor’s degree in human resources, business administration, or a related field preferred.
  • Minimum 2-4 years of experience in HR operations, administration, or a similar role.
  • Strong understanding of employee onboarding, benefits administration, and HR processes.
  • Knowledge of employment laws in the assigned region or a willingness to learn.
  • Strong organizational skills and attention to detail.
  • Excellent communication and customer service skills.
  • Experience with HRIS systems and Microsoft Office Suite.
  • Ability to handle sensitive information with confidentiality and professionalism.
