Job Description

As an AU RTO Administration Assistant, your responsibilities will include:

Communication & Customer Service
  • Answer phone calls and respond to emails, directing enquiries to the appropriate team members.
  • Communicate with students via text and email regarding class reminders or updates.
  • Provide professional and friendly service to clients and stakeholders.
Data Entry & Record Keeping
  • Accurately input and update data in systems such as Wisenet, Microsoft Excel, and Dynamic 365.
  • Maintain organized records of student information, attendance, and correspondence.
  • Ensure all documentation is stored securely and is easily accessible.
Administrative Support
  • Assist team members with day-to-day tasks and ad hoc administrative duties.
  • Prepare and send reports, documents, and schedules as required.
  • Support staff across departments with coordination of student communications, scheduling, and reporting.
Calendar & Email Management
  • Manage team calendars and schedule appointments using Microsoft Outlook or Teams.
  • Coordinate internal and external meetings, ensuring all relevant stakeholders are informed and prepared.

Requirements
Essential Skills & Experience
  • Minimum 2 years of relevant experience working in the RTO industry in Australia.
  • Experience working for an Australian Client/Business is required.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).
  • Experience with Wisenet, Dynamic 365, or similar CRM and student management systems.
  • Strong written and verbal communication skills.
  • High attention to detail and accuracy in data entry and record management.
  • Excellent organizational and time management abilities.
  • Ability to work independently and prioritize tasks in a fast-paced environment.
  • Friendly and professional attitude with a strong customer service mindset.
  • Adaptability to take on varied tasks and respond positively to change.
Desirable Qualifications
  • Prior experience in an RTO or education administration role.
  • Familiarity with compliance and documentation requirements in the VET sector.
  • Certificate in Business Administration or equivalent qualification (preferred but not essential).
