Job Description
As an AU RTO Administration Assistant, your responsibilities will include:
Communication & Customer Service
Answer phone calls and respond to emails, directing enquiries to the appropriate team members.
Communicate with students via text and email regarding class reminders or updates.
Provide professional and friendly service to clients and stakeholders.
Data Entry & Record Keeping
Accurately input and update data in systems such as Wisenet, Microsoft Excel, and Dynamic 365.
Maintain organized records of student information, attendance, and correspondence.
Ensure all documentation is stored securely and is easily accessible.
Administrative Support
Assist team members with day-to-day tasks and ad hoc administrative duties.
Prepare and send reports, documents, and schedules as required.
Support staff across departments with coordination of student communications, scheduling, and reporting.
Calendar & Email Management
Manage team calendars and schedule appointments using Microsoft Outlook or Teams.
Coordinate internal and external meetings, ensuring all relevant stakeholders are informed and prepared.
Requirements
Essential Skills & Experience
Minimum 2 years of relevant experience working in the RTO industry in Australia.
Experience working for an Australian Client/Business is required.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).
Experience with Wisenet, Dynamic 365, or similar CRM and student management systems.
Strong written and verbal communication skills.
High attention to detail and accuracy in data entry and record management.
Excellent organizational and time management abilities.
Ability to work independently and prioritize tasks in a fast-paced environment.
Friendly and professional attitude with a strong customer service mindset.
Adaptability to take on varied tasks and respond positively to change.
Desirable Qualifications
Prior experience in an RTO or education administration role.
Familiarity with compliance and documentation requirements in the VET sector.
Certificate in Business Administration or equivalent qualification (preferred but not essential).
