Project Coordination:
Manage timelines, tasks, and milestones in Asana, keeping everything up to date and easy to follow.
Track progress across branding and web projects, flagging risks and helping unblock the team.
Set up and maintain project templates and workflows to streamline repeatable work.
Team Support:
Use Slack for day-to-day communication, nudges, reminders, and updates.
Be the go-to for organising team check-ins, capturing next steps, and keeping internal folders tidy and accessible.
Make sure files are always checked and ready before being shared externally.
Client Coordination:
Schedule client calls, send follow-ups, and help keep client communications clear and timely.
Keep track of deliverables and ensure we’re always delivering what we promised, when we promised it.
Automation & Process Improvements:
Spot inefficiencies and build smarter systems to solve them.
Set up automations in Asana, Slack, Google Workspace, or Zapier to save time and reduce human error.
Document and improve SOPs so our workflows scale as we grow.
General Operations:
Support the founder and Creative Director with day-to-day operational needs.
Help manage contracts, scheduling, invoicing, and other admin tasks.
Keep a pulse on team capacity and project status — always a few steps ahead.
Help schedule and publish social content (we’ll provide the content or collaborate on it).
2+ years of experience as a Project Manager in a creative agency or marketing team.
Fluent in English with excellent written and verbal communication.
Strong team player who collaborates well with clients and colleagues.
Strong proficiency in Asana.
High attention to details.
Customer service mindset—ensuring clients always feel informed and supported.
Experience with email marketing & automation platforms
Comfortable with landing page builders & marketing tools
Takes initiative and thinks outside the box to improve processes.
Highly organized, detail-oriented, and proactive.
