Job Requirements:

  • Experience: Minimum of 1-2 years in a real estate administrative or executive assistant role, with a proven track record of supporting agents or brokers. 
  • Tech-Savvy: Proficiency in real estate software, CRM tools, and office suites such as Microsoft Office and Google Workspace.
  • Experience with social media platforms like Instagram, TikTok, and Facebook is essential. 
  • Video Editing Skills (Preferred): Strong proficiency in creating and editing short-form video content directly in social media apps to enhance branding and engagement. 
  • Organizational Skills: Exceptional multitasking abilities with attention to detail, particularly in managing property and task-related information.
  • Proactive Communication: Comfortable with verbal communication, providing regular updates and check-ins to ensure timely task execution and support. 
  • Adaptability: Willingness to assist with diverse tasks, from managing email communications to contributing to social media branding and local outreach efforts. 
  • Initiative: A self-starter with the ability to anticipate needs, streamline operations, and keep processes running efficiently.

Core responsibilities:

  • Calendar Management: Oversee scheduling, manage appointments, and organize property showings, ensuring efficient time management and prioritization. 
  • Email Management: Monitor and organize email communications, flag important messages, and follow up on pending correspondence to ensure tasks are completed promptly. 
  • Transaction Support: Handle documentation and paperwork for real estate transactions, ensuring accuracy, compliance, and timely processing. 
  • Marketing Assistance: Create and distribute marketing materials, including property listings and promotional content, with a focus on short-form video content for platforms like Instagram Reels, TikTok, and Facebook.
  • Database Management: Maintain and update property and contact records, ensuring all information is current and easily accessible. 
  • Vendor Coordination: Liaise with inspectors, contractors, and other real estate professionals to streamline operations and ensure smooth transactions.
  • Follow-Up Assistance: Provide reminders and proactive outreach to keep tasks and communications on track, including coordinating responses and ensuring timely updates.
