What You Can Expect
The Executive Assistant role mainly supports the VP RECON & DTS in all daily operative tasks and duties as described below.
How You'll Create Impact
Performing day-to-day executive assistant duties and operational tasks for the VP RECON & TDS:
Calendar management
Travels and Expenses (T&Es) management
Distribution lists and organization charts management
Shopping Cards, Purchase Orders and follow up of supplier invoices in SRM / SAP
Opening new vendors in collaboration with Sourcing department and according to internal process
Invoice handling, payment tracking, shipments
Other administration tasks and RECON & DTS Team support upon requests
Events And Meetings
Internal / external meetings coordination
Support in meeting contents preparation (agenda, presentation)
Hotel & restaurant reservations according to ZB Compliance rules and policy
Airport transfers arrangements for VIP guests and special transfer requests
Catering arrangements, menu selections, set up coordination and follow up with supplier on special requests
Your Background
Qualifications
Commercial degree, business administration education, Executive Assistant training background or equivalent
Proficient in business tools such as Microsoft Office (MS Teams, Outlook, Word, Excel and Powerpoint)
Experience
Min. 3-5 years of experience in a similar position
Languages
Fluent in English, both written and spoken
Other European language(s) desired
