The Role:

Viz.ai is searching for a passionate, experienced Executive Assistant (EA) to join our remote US team! This EA will be supporting 3+ Senior Executives and will be the right-hand and gatekeeper of their Executives’ time/calendar. The ideal candidate is a team player, a proactive problem solver, and has excellent communication skills. We’re looking for someone who is exceptionally organized and has a keen eye for detail. The candidate must be located in the Pacific or Mountain Time Zone. 

You will:

  • Est. 85% of the role: 
    • Proactively handle complex and ever-changing calendars
    • Arrange detailed domestic and international travel plans
    • Join meetings alongside your Executive(s); capturing meeting notes and action items
    • Create, edit and maintain docs/memos, sheets and presentations 
    • Track and follow up on commitments, priorities and internal/external correspondence
    • Engage in general admin and operation duties: meeting prep, expense reports, research, booking restaurant reservations, etc
  • Est. 10% of the role: Event planning for Executive Team and their orgs, including:
    • Arrange off-sites/trips including coordinating travel, accommodations, meeting spaces, catering, reservations, etc.
    • Arrange activities such as happy hours, dinners and team building activities 
  • Est. 5% of the role: Be a team player and support various initiatives, as needed:
    • Internal team event planning
    • Thoughtful gift purchasing
    • Frequent coordination with other Executive Assistants
    • Support other Executives as a backup 
    • Assist the People Team with various company initiatives 

What success looks like:

  • Knowing the preferences of each of the Executive leaders you support. 
  • Being proactive and staying one step ahead of your Executive so they can focus on their priorities.
  • Comfortable joining meetings with your Executive, capturing meeting notes and action items live.
  • Assisting your Executive leaders with tracking their work and priorities to ensure commitments and deadlines are kept.

We are looking for: 

  • Minimum of 5+ years of relevant experience as an Executive/Administrative Assistant, supporting more than one C-level or VP, preferably for a SaaS or healthcare organization.
  • Must be software savvy. Must have G-Suite experience in a work setting. Slack and Brex experience preferred.
  • Must have excellent written and verbal communication skills.
  • Experience working with global remote teams.
  • Flexible availability may be needed to accommodate priorities across multiple timezones.

Our salary ranges are determined by role, level, and location. The range displayed on each job posting reflects the minimum and maximum target for new hire salaries for the position across all US locations. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training. Your recruiter can share more about the specific salary range for your preferred location during the hiring process.

Salary Range: $90,000 - $95,000

Total Compensation includes base salary + bonus + equity
