Job description

This is a remote position.

Candidate-facing description: Join a growing high-end plumbing company specializing in architectural renovations and commercial projects where you’ll be the backbone of their operations. In this role, you’ll manage critical business processes including job costing, client communication, and project documentation while working directly with the owner and field teams. This is an exciting opportunity to make a significant impact by implementing and maintaining systems that drive business growth and profitability tracking, while supporting both residential and commercial client relationships.

Responsibilities:

  • Match and process supplier invoices to corresponding jobs within 24 hours of receipt
  • Monitor and maintain job profitability tracking in Tradeify system
  • Handle client communication and follow-ups for both residential and commercial accounts
  • Process quotes and invoices in a timely manner
  • Document and maintain systems and processes for operational efficiency
  • Support project documentation and administrative workflows
  • Assist with team and project management coordination
  • Maintain organized records for government contract work
  • Support ongoing maintenance contract administration
  • Handle general administrative tasks and email management


Requirements

  • Strong attention to detail and accuracy in financial document processing
  • Experience with job costing or project financial tracking
  • Excellent written and verbal communication skills
  • Proficiency with business software and ability to learn new systems quickly
  • Strong organizational and time management abilities
  • Experience in construction, trades, or project-based business preferred
  • Ability to maintain confidentiality with financial information
  • Self-motivated with strong problem-solving skills

Scopes:

  • Process and track all project-related invoices and costs
  • Manage communication for high-end residential and commercial clients
  • Support documentation for projects ranging from luxury renovations to government contracts
  • Handle administrative processes for a team including technicians and apprentices
  • Coordinate with suppliers and maintain vendor relationships
  • Assist with marketing and business development administrative tasks
