Senior Event Operations Lead I Viator

About Viator
Viator, a Tripadvisor company, is the leading marketplace for travel experiences. We believe that making memories is what travel is all about. And with 300,000+ travel experiences to explore—everything from simple tours to extreme adventures (and all the niche, interesting stuff in between)—making memories that will last a lifetime has never been easier. With industry- leading flexibility and last-minute availability, it's never too late to make any day extraordinary. Viator. One app, 300,000+ travel experiences you’ll remember.

Viator is a remote-first, global organization with a mission to deliver more experiences, to more people, to more often. We believe in fostering a collaborative and inclusive culture that thrives on innovation and connection. To strengthen our team and culture, we’re looking for a skilled Sr. Event Operations Lead to manage and execute in-person gatherings that bring our remote teams together.

As the Sr. Event Operations Lead, you will be responsible for organizing internal events that drive connection, learning, and engagement for our distributed workforce, and will support external employer branding events to attract top-tier talent to Viator. From team offsites to global meetups in key hubs, you’ll manage everything from event logistics to session programming to budgets. You’ll ensure that every in-person gathering maximizes our time together and aligns with our company culture, business goals, and people-first mindset.

Key responsibilities:
  • Event planning & management:

    • Plan, execute and manage remote team meetups, offsites, and hub gatherings globally.

    • Handle logistics such as venue booking, travel arrangements, accommodations (when needed), and catering.

    • Oversee, or partner with our OfficeX team to support on-site execution and ensure a seamless attendee experience.

  • Programming & engagement:

    • Partner with leadership, People Operations, and department heads to align events with business priorities and objectives for each event.

    • Coordinate programming for events, including workshops, training sessions, company presentations, and social activities.

    • Foster team-building and employee engagement through creative activities and experiences.

    • Identify and facilitate coordination for events that will assist us in attracting talent in key markets.

  • Communication & coordination:

    • Manage event communication, from invitations and RSVPs to post-event feedback.

    • Create detailed schedules and secure resources to ensure attendees are well-prepared, and the event is set up for success.

    • Serve as the primary point of contact for participants and stakeholders.

  • Budget & vendor management:

    • Develop, track, and drive accountability in event budgets, ensuring cost efficiency and ROI.

    • Source and manage relationships with venues, suppliers, and vendors.

  • Continuous improvement:

    • Gather feedback from attendees and stakeholders to improve future events.

    • Stay informed about best practices and tools for remote team operations and events.

Skills & qualifications:
  • 8+ years of experience in event management, operations, or a related field (experience in remote-first organizations is a plus).

  • Ability to lead large, cross functional programs with various stakeholders with minimal oversight.

  • Exceptional organizational and project management skills with a detail-oriented mindset.

  • Strong interpersonal and communication skills for collaborating across teams and cultures.

  • Proven ability to manage budgets, negotiate contracts, and work with vendors.

  • Creative problem-solving skills and a proactive approach to challenges.

  • Willingness to travel as needed (15-25% travel expected).

Perks of working at Viator
  • Competitive compensation packages, including base salary, annual bonus, and equity.

  • “Work your way” with flexibility to suit your lifestyle. We take a remote-friendly approach to collaboration, with the option to join on-site as often as you’d like in select locations.

  • Flexible schedule. Work-life balance is ingrained in our culture by design. Trust and accountability make it work.

  • Donation matching. Give back? Give more! We match qualifying charitable donations annually.

  • Tuition assistance. Want to level up your career? We love to hear it! Receive annual support for qualified programs.

  • Lifestyle benefit. An annual benefit to spend on yourself. Use it on travel, wellness, or whatever suits you.

  • Travel perks. We believe that travel is employee development, so we provide discounts and more.

  • Employee assistance program. We’re here for you with resources and programs to help you through life’s challenges.

  • We’re relentlessly curious. We push beyond the usual, the known, the “that’s just how it’s done.”

  • We’re better together. We learn from, accept, respect, support, and value one another– and are creating something remarkable in the process.

  • We serve our customers, always. We listen, question, respond, and strive for wow moments.

  • We strive for better, not perfect. We won’t get it right the first time – or every time. We’ll provide a safe environment in which to make mistakes, iterate, improve, and grow.
