Job Description: 
We are looking for a highly organized and proactive Project Manager, preferably female, to oversee and coordinate projects while also supporting administrative tasks such as calendar management, meeting scheduling, and light bookkeeping. The ideal candidate is someone who thrives on structure, follows through on tasks, and keeps everyone on track. 

Requirements

Key Responsibilities: 

  •   Project Oversight: 
    Maintain structure across ongoing projects, monitor timelines and deliverables, and keep stakeholders aligned.  
  • Organization & Workflow: 
    Implement systems to organize files, communications, and project updates. Ensure that the team stays on schedule.  
  • Calendar Management: 
    Schedule and manage calendars for executives and team members, ensuring all meetings and deadlines are coordinated smoothly.  
  • Meeting Coordination: 
    Organize internal and external meetings, prepare agendas, take notes, and follow up on action items.  
  • Administrative Support: 
    Provide general administrative support including email and file management, preparing reports, organizing documentation, and assisting with task follow-ups.  
  • Bookkeeping Support: 
    Assist with basic bookkeeping tasks such as expense tracking, invoice processing, and coordination with the accounting team or software.  
  • Communication: 
    Serve as a point of contact for project-related questions and updates. Keep communication flowing between departments or clients. 

 

Qualifications: 

  • Minimum of 2 years’ experience as a Project Manager, Executive Assistant, or in an operations/administrative support role 
  • Strong organizational skills and ability to create and manage systems 
  • Experience with calendar tools (Google Calendar, Outlook, Calendly, etc.) 
  • Familiarity with project management platforms (e.g., Trello, Asana, ClickUp, or Monday.com) 
  • Working knowledge of basic bookkeeping practices and tools (e.g., QuickBooks, Xero, or Excel) 
  • Excellent written and verbal communication skills 
  • Ability to work independently and handle multiple priorities with attention to detail 

Preferred Qualifications: 

  • Experience working with U.S.-based clients 
  • Background in virtual assistance or remote team support 
  • Bookkeeping certification or coursework (a plus, but not required)

  • RAM: At least 8GB (16GB recommended for smoother multitasking, especially when handling multiple apps). 
  • Storage: SSD (Solid State Drive) of at least 256GB (Faster performance than HDD). 
  • Internet: DSL/Fiber with at least 25Mbps download & 10Mbps upload. 
  • Backup Internet: Mobile hotspot or secondary ISP. 
  • Headset with Mic: Noise-canceling headset. 
  • Webcam: At least 720p (1080p recommended).
