Job description

Schedule: Monday – Friday (07:00 AM - 04:00 PM Manila Time) 

 

What are we looking for? 

Skills Required:  

  • Prior experience (2+ years) in an Executive Assistant/HR Administration role, preferably within a project-based or field-services environment. 
  • Proven track record managing onboarding activities and employment contracts. 
  • Proficiency in Employment Hero or a similar HRIS platform required. 
  • Skilled in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management tools. 
  • Familiarity with timesheet management systems and payroll coordination. 

What will you do? 

Executive Support 

  • Coordinate senior management calendars, schedule appointments, and resolve conflicts. 
  • Prepare agendas, presentations, and comprehensive briefing materials for management meetings. 
  • Record and distribute meeting minutes, ensuring action items are clearly assigned and followed up. 
  • Manage travel arrangements, expense reports, and itineraries for leadership team members. 
  • Handle high-level correspondence, emails, and calls with professionalism and discretion. 

HR Administration & Onboarding 

  • Oversee new-hire onboarding and contract creation using Employment Hero, ensuring a smooth integration for field staff. 
  • Maintain employee records and ensure they comply with legal and company policies.
  • Manage HR compliance requirements, including Leave Plus administration and any protective measures required (e.g., insurance or safety-related documentation). 
  • Assist in drafting and updating HR guidelines and policy documents, working closely with the management team. 

Timesheet & Payroll Coordination 

  • Reconcile timesheets for field and office staff, verifying accuracy before submission to payroll. 
  • Identify and troubleshoot discrepancies, liaising with relevant managers to resolve issues promptly. 
  • Coordinate with finance or accounting teams to ensure timely payment processing. 

General Administration & Coordination 

  • Organize and maintain electronic and paper filing systems for easy retrieval of critical information. 
  • Assist in planning and coordinating internal events, staff training sessions, and other team activities. 
  • Collaborate with the finance team to track administrative and HR-related budgets. 
  • Provide operational support on special projects and initiatives, ensuring deadlines and budgets are met. 

Compliance & Continuous Improvement 

  • Stay updated with relevant employment legislation to ensure all HR processes remain compliant. 
  • Oversee and maintain employee data within digital platforms, ensuring data integrity and confidentiality. 
  • Identify process gaps in administrative or HR procedures, offering suggestions for improved efficiency. 
  • Adhere to, promote, and enforce safety protocols, including any site-based WHS (Work Health and Safety) standards.
