Job description

At Uni Systems, we are working towards turning digital visions into reality. We are continuously growing and we are looking for a Senior Contracting Assistant to join our UniQue team.

  • Manage all contractual matters related to both competitive and sole-source procurement processes, including drafting, coordinating, and releasing solicitations, evaluating bids, engaging with bidders, and awarding contracts in accordance with the Institution’s procurement regulations.
  • Coordinate and liaise with contractors to ensure compliance with contract terms and timely performance of contractual obligations.
  • Perform contract administration tasks, including processing amendments and contract modifications.
  • Review business cases, assessing requirements, potential benefits, and available procurement options to determine appropriate procurement routes (e.g., open market or collaborative frameworks).
  • Investigate, resolve, or escalate procurement-related issues and challenges.
  • Support internal stakeholders with procurement-related inquiries and ensure adherence to best practices.
  • Contribute high-quality and timely inputs for procurement and acquisition reporting.
  • Keep the Line Manager informed of emerging issues, concerns, and risks related to procurement activities.

Requirements

What will you be bringing to the team?

  • 3 years of higher education after secondary school with a minimum of 2 years in a related field.
  • Strong knowledge of procurement processes, including monitoring and maintaining financial records to ensure compliance and audit readiness.
  • Proficiency in utilizing appropriate procurement methodologies and best practices.
  • Experience in using automated data processing tools to streamline procurement activities.
  • Advanced proficiency in spreadsheet and word processing tools.
  • Proven ability to communicate effectively, both orally and in writing, with internal and external stakeholders.
  • Experience managing high-value, high-volume, and high-speed framework contracts for services.
  • Familiarity with output- and performance-based contracts, including reviewing Statements of Work and providing procurement-related advice.

Desirable:

  • Knowledge of international policies, regulations, and procedures, particularly in procurement, as well as in personnel, contracting, and finance.
  • Prior experience working in a multinational or intergovernmental environment.
