Job Description:

We are looking for an experienced Microsoft Teams Voice & Calling Specialist who can set up a cost-effective, scalable, and AI-powered communication solution for our outreach campaigns.

Our goal is to optimize our outbound and inbound calling strategy by implementing a robust, affordable alternative to Microsoft’s calling plans, while still leveraging Microsoft Teams or third-party VoIP providers.

Additionally, the expert should configure automatic call recordings, AI-generated transcriptions, and summaries to streamline our communication and follow-up processes. Experience with purchasing and managing landline numbers across different regions is required.

This role will be responsible for designing, implementing, and managing an efficient calling infrastructure that supports sales outreach, customer engagement, and internal collaboration while keeping costs low.

Key Responsibilities:

1. Cost-Optimized Voice & Calling Infrastructure Setup
  • Identify and integrate cost-effective third-party VoIP providers as an alternative to Microsoft Teams Calling Plans.
  • Configure Microsoft Teams Phone System with Direct Routing or SIP Trunking solutions to ensure affordable international and domestic calling.
  • Research, purchase, and manage landline numbers across multiple regions to support outreach campaigns.
  • Ensure scalability and flexibility in the chosen calling solution.
2. Outreach Campaign Calling & AI-Powered Enhancements
  • Implement a highly scalable calling system to support outreach campaigns.
  • Configure automatic call recording and storage solutions.
  • Set up AI-generated call transcriptions, summaries, and insights for improved call follow-ups and CRM updates.
  • Ensure that recorded calls and transcriptions integrate with CRM tools (Salesforce, HubSpot, Dynamics 365, etc.).
3. Call Flow & Auto Attendants Configuration
  • Design Auto Attendants (IVR), Call Queues, and Business Hours Routing for efficient call handling.
  • Optimize call workflows to maximize agent efficiency and minimize dropped calls.
  • Set up an escalation system for missed or high-priority calls.
4. Security, Compliance & Call Quality Monitoring
  • Ensure compliance with GDPR, HIPAA, and telecom regulations regarding call recording and data retention.
  • Configure secure storage for recordings and transcripts to maintain data privacy.
  • Implement Call Quality Dashboard (CQD) monitoring to track and improve call performance.
5. CRM & Business App Integration
  • Ensure seamless integration between Teams Calling (or alternative VoIP providers) and CRM systems.
  • Automate call logging, transcription storage, and AI-driven insights for sales follow-ups.
  • Provide reports and dashboards on call activity, engagement rates, and lead conversion tracking.
6. Administrative & Number Management
  • Purchase and manage landline numbers across different geographies for outreach.
  • Ensure porting and provisioning of numbers with telecom providers.
  • Maintain an updated database of active phone numbers, call routing policies, and associated costs.


Qualifications & Skills:

3+ years of experience in Microsoft Teams Voice, VoIP, and Telephony solutions.
✅ Strong expertise in Microsoft Teams Phone System, Direct Routing, and SIP Trunking.
✅ Hands-on experience with third-party VoIP providers (e.g., Twilio, Zoom Phone, RingCentral, 8x8, Vonage, Dialpad, Aircall).
Ability to research and implement cost-effective calling solutions while maintaining high-quality voice connections.
✅ Familiarity with AI-powered transcription services (e.g., Otter.ai, Microsoft Copilot, Fireflies.ai).
✅ Experience in landline number procurement, porting, and telecom administration.
✅ Strong knowledge of VoIP security, compliance, and call recording regulations.
✅ Experience in CRM and business software integration (Salesforce, HubSpot, Microsoft Dynamics).
✅ Knowledge of PowerShell scripting for automation and Microsoft Graph API (a plus).
✅ Certifications such as Microsoft Teams Voice Engineer (MS-720) are highly preferred.
