Job Overview

We are looking for a highly organized and detail-oriented AU RTO Administration & Operations Support Officer to join our team and play a key role in ensuring efficient student management and compliance with regulatory requirements. As an RTO Administration & Operations Support Officer , you will be responsible for managing student records, timetables, compliance reporting, and system administration . You will work closely with internal teams to maintain data accuracy, monitor student progress, and ensure a smooth student learning lifecycle . This role requires strong attention to detail, problem-solving skills, and the ability to multitask effectively .


Job Description

As an AU RTO Administration & Operations Support Officer, your responsibilities will include:

System Administration & Compliance
  • Monitor Wisenet for compliance issues, risks, and data inaccuracies; escalate as needed.
  • Prepare and manage course offers, rolling intakes, and timetables in Wisenet.
  • Ensure data accuracy across platforms, including PRISMS and Wisenet.
  • Reconcile PRISMS and Wisenet data to maintain compliance.
Timetable & Student Records Management
  • Prepare and cross-check timetables for VET and ELICOS courses.
  • Ensure timetables are shared with the Student Support Team for printing.
  • Maintain records of suspended students and manage their course adjustments post-suspension.
  • Enroll General English students in appropriate course levels and update their records.
Data Entry & Reporting
  • Accurately process student completions, cancellations, and deferments.
  • Maintain course progress and attendance reports for compliance.
  • Assist in preparing regular and ad-hoc reports.
Communication & Stakeholder Liaison
  • Ensure students receive accurate and consistent information regarding schedules, breaks, and public holidays.
  • Handle external stakeholder communications and provide high-quality customer service.
  • Manage and resolve student inquiries efficiently.
System Integration & Documentation
  • Oversee the integration of Wisenet and Moodle platforms.
  • Create and maintain a user manual for Wisenet.
Legislative Awareness & Policy Adherence
  • Stay informed on updates in Standards for RTOs and the ESOS Framework (training provided).
  • Follow all internal policies and procedures.

Requirements
  • Minimum 2 years of relevant experience in an Administration and Operations Support role in the RTO industry.
  • Experience working for an Australian Client/Business is required.
  • Experience in an RTO administration role with knowledge of student management systems.
  • Strong proficiency in Wisenet and Moodle (or willingness to learn).
  • Knowledge of Australian RTO standards and ESOS Framework.
  • High-level data accuracy and compliance skills.
  • Strong organisational and time management skills with the ability to prioritise tasks.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office (Excel, Word, Outlook).
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Prior experience with PRISMS student data management.
  • Experience in preparing reports and compliance documentation.
  • Strong problem-solving skills with the ability to identify and escalate issues proactively.
