U-Haul International, Inc. is seeking a highly motivated and organized Legal Assistant – Billing Specialist that will be responsible for working with the Operations Team in taking the lead role in overseeing the billing/invoicing payment process for the U-Haul Legal Department and other related areas. The in-house position duties include but are not limited to:
Coordinate, enter and track legal expenses and/or settlement payments using company-based accounts payable processing system, Legal Tracker and other payment type platforms.
Create, update and manage vendor account information including billing rate approval and W-9 submissions.
Ensure all legal billing activities comply with company billing guidelines and apply deductions where applicable.
Communicate with attorneys and other internal/external stakeholders regarding billing inquiries and discrepancies.
Review, update and manage information contained in the company’s legal tracking and invoice reporting tools for accuracy and quality control consistency.
Must be able to identify and prioritize workload demands effectively, understanding the importance of balancing urgent stakeholder requests with routine billing deadlines.
Ability to work with confidential time sensitive information quickly and efficiently.
Provide timely and accurate reports that contain billing related data and other expense categories broken down by expense type.
Copying and scanning.
Other clerical/operational duties as needed.
The desired candidate must have 2 or more years of relevant experience in a law firm or corporate environment, be familiar with basic accounting fundamentals, have a solid understanding of accounts payable processes, sound foundational knowledge of Microsoft Excel including navigation, formulas and spreadsheets, have excellent communication skills (verbal and written), is detailed oriented, have excellent time management and can work independently as well as part of a team.
Education:
Associate degree (or higher) in business, accounting or bookkeeping; or the equivalent in experience preferred.
Familiarity with Microsoft Office applications a plus.
Knowledge of Thomson Reuters Legal Tracker preferred; or equivalent LEDES based billing software application.
