Key Areas of Responsibilities:

    • Administrative Support - Handle general administrative tasks such as data entry, filing, and document management.
    • Calendar and Schedule Management - Manage and maintain the executive’s calendar, scheduling appointments, meetings, and conferences. Send reminders for upcoming events and provide preparation materials as needed.
    • Email and Inbox Management - Monitor and manage the executive's inbox, filtering emails, and responding to routine inquiries.
    • Travel Planning and Coordination - Research and book flights, accommodations, and transportation for both business and personal trips. Prepare detailed travel itineraries, and handle any last-minute travel changes or cancellations.
    • Task and Project Coordination - Assist in managing daily tasks, setting priorities, and ensuring deadlines are met.
    • Meeting and Event Support- Organize meetings, including coordinating schedules and sending invitations. Take meeting minutes and track action items for follow-up.
    • Client and Vendor Communication - Serve as the initial point of contact for clients, vendors, and other stakeholders. Handle inquiries, provide updates, and ensure professional communication on behalf of the executive.
    • Expense Management - Track and record expenses, and manage receipts for reimbursement. Prepare and submit expense reports, ensuring accuracy and timely submission.
    • Research and Information Gathering - Conduct research on various topics, and provide insights and summaries from research to assist in decision-making. Prepare reports or presentations based on collected data.
    • Personal Assistant Tasks - Handle personal errands, such as scheduling personal appointments or making reservations.
    • Confidentiality and Discretion - Maintain strict confidentiality when dealing with sensitive information and business matters.
    • Other Ad hoc tasks required by the Executive client

Requirements

  • At least 2 years of experience as an Executive Assistant or as Virtual Admin Assistant
  • Strong communication and interpersonal skills
  • Proficiency in various tools (CRM, Project Management, MS Office, etc.)
  • Ability to learn quickly and adapt to new technologies and processes
  • Detail-oriented with excellent organizational skills
  • Self-motivated and able to work independently
  • Flexibility to work part-time initially, with the potential for full-time employment
