The Workplace Services (WPS) team is responsible for curating and sustaining our unique ServiceNow work environments worldwide, helping bring our purpose to life in the physical sense.  We are accountable for the entire life cycle of our physical workplaces, from ‘ideation to expiration’, and we are a key influencer of the employee experience through our workspaces, services and amenities.   

Role Description

In the WPS Manager role, you will contribute to a company that lives its brand and understands that WPS plays a critical role in defining the future. This individual will be an essential addition to the team, taking ownership and responsibility for WPS Programs and Services for Japan.

You will be both execution-focused, helping to ensure our day-to-day business runs the way it should, and strategy-focused, helping to ensure we contribute to ServiceNow's long-term health; you will move between these elevations frequently.

You will develop, deliver and manage employee programs, including Food Services, Fitness, and more. You can both maintain and lead the program while providing stellar customer service. 

Responsibilities

  • Lead all WPS Programs, including Food and Beverage, Event management, Amenities and Perks and Fitness Center.
  • Manage vendors for WPS, including HVAC, electrical, security, janitorial, furniture, kitchen services and first aid 
  • Effectively utilise our platform, including receiving and reviewing requests, assigning work orders and tracking completion/closeout of tasks and requests 
  • Manage your portion of OPEX & CAPEX budget pertaining to local responsibilities 
  • Liaison for general maintenance, troubleshooting and repairs 
  • Manage local moves/adds/changes and new hire process 
  • Maintain preventative maintenance schedules within Workplace Services 
  • Develop and implement program management KPIs, benchmarks, and measurements
  • Innovate and stay ahead of our customers’ needs while ensuring we are developing solutions that scale and are forward-thinking.
  • Be an employee experience advocate and a builder of employee-centric communities, all in the spirit of driving employee success and engagement
  • Be a key partner to the business and other internal organisations such as Global Talent, IT, Communications and Branding to help drive collaboration, strategy, problem-solving and communications
  • Be a pivotal partner to, and customer of, our Portfolio, Planning & Design, Safety & Security and Project Management program offices
  • Effectively manage an existing team made up of both employees and embedded service partners and ensure this team is, and remains, optimally sized and skilled to meet the company’s growth over the next several years

Qualifications

To be successful in this role you have:

  • Be a servant-leader who comes equipped to build and maintain a world class team of both employees and service partners
  • Have 3 - 5 years of demonstrated success in the strategic and operational aspects of team & project management + workplace services in a high-growth, very dynamic environment – adaptability is key.
  • Exhibit strong analytical, conceptual thinking, strategic planning and execution skills. Be a proven creative thinker with a problem-solving approach
  • Have an excellent track record of establishing relationships, influencing and negotiating competing priorities among business partners
  • Have a proven ability to deliver concise and simple written and verbal communications to cross functional stakeholders and executives
  • Have an evolving knowledge of commercial and corporate real estate with the willingness to become an expert
  • Have an excellent grasp of business-oriented financial concepts, financial analysis, budget formulation, and business case development
  • Qualifications like NEBOSH, IFM, MCR, etc. are advantageous.
