Job description

Dignotion is seeking a part-time office manager for our new NYC Branch with an option to grow to full time once we move back from COVID-19 restrictions.
  • Organizing the office (ordering supplies, keeping it neat and working with building management on solving any issues)
  • Tracking incoming and outgoing mail/packages, scheduling pickups, hand-deliver certain documents in the city.
  • Manage executive calendar, schedule meetings, conferences and calls and independently resolve schedule conflicts as well as reviewing a month out to be sure of accuracy or changes. 
  • Assist billing of clients.
  • Conduct a weekly check-in.
  • Make travel arrangements as needed.
  • Record minutes at meetings.
  • Stay updated on office procedures, adjust as needed and implement new processes when needed.
  • Organize expenses for reimbursement and filing
  • Meet and greet visitors as needed
  • Answering phones and return calls as requested
  • Filing and liaising with our support team (accounting, legal, hr, operations)


Requirements
  • Experienced performing administrative tasks
  • Have excellent verbal and written communication skills
  • Proficient working with MS Office, Google Apps, and other business apps
  • Be proactive, organized, ready to learn and able to document & prioritize tasks.
