Roles & Responsibilities

  • Manage scheduling, calendar coordination, meeting organization, and internal communications using Slack and other platforms
  • Identify operational inefficiencies and support implementation of process improvements, maintain SOPs and documentation, and assist with workflow automation
  • Provide financial administrative support, including QuickBooks-related tasks, invoicing, expense tracking, and operational record management

Job description

This role is open to candidates based in LATAM, Africa, and Eastern Europe. Please note that as this role supports U.S.-based clients, candidates must be available to work during U.S. business hours aligned with the client’s time zone.

 

Our client is a growing security and operations company providing physical security services, surveillance systems, access control solutions, and live monitoring support for commercial clients. As the company continues expanding, they are focused on improving internal organization, operational efficiency, communication workflows, and day-to-day coordination across the business.

Role Overview

The Operations Coordinator will support day-to-day operational functions across the business while helping leadership maintain organization, accountability, and operational efficiency. This role will focus on scheduling, communication, administrative coordination, process support, and operational organization across multiple departments.

The ideal candidate is highly organized, proactive, detail-oriented, and comfortable managing multiple priorities in a fast-paced operational environment.

Key Responsibilities

Operational Coordination & Support

  • Assist with coordinating day-to-day operational workflows and internal processes.

  • Help ensure projects, operational initiatives, and tasks move forward efficiently.

  • Support leadership and operations teams with administrative and coordination-related responsibilities.

  • Maintain organization across operational systems, documentation, and internal processes.

Scheduling & Communication

  • Manage scheduling, calendar coordination, and meeting organization.

  • Assist with responding to emails and internal communications in a timely and professional manner.

  • Coordinate follow-ups, task tracking, and operational accountability across teams.

  • Support communication workflows through Slack and other internal platforms.

Process Improvement & Systems Support

  • Identify operational inefficiencies and support implementation of process improvements.

  • Help maintain SOPs, documentation, and internal organizational systems.

  • Support workflow automation and operational improvement initiatives alongside operations and automation teams.

  • Assist with maintaining accurate operational records and reporting systems.

Financial & Administrative Support

  • Support QuickBooks-related administrative tasks, invoicing, expense tracking, and operational record management.

  • Help organize operational reporting and maintain accurate internal documentation.

  • Assist with administrative support tied to operational and financial workflows.

Qualifications

Experience

  • 1–3 years of experience in operations coordination, administrative support, project coordination, or similar operational roles.

  • Experience using organizational and communication tools such as Slack, Google Workspace, ClickUp, Asana, or similar platforms.

  • Familiarity with QuickBooks or operational financial coordination is preferred.

Skills

  • Strong organizational and multitasking abilities.

  • Excellent written and verbal communication skills.

  • Ability to prioritize tasks and manage follow-through effectively.
