Role Summary:

We are seeking an energetic, detail-oriented Marketing Project Management Coordinator, who will assist in the meticulous coordination of marketing plans and maintenance of records, documents and libraries. Reporting to our Director of Creative Services, you will be the central hub that maintains project schedules, evaluates day-to-day priorities, identifies areas of concern and ensures that commitments to finance and billing are in order.

Key Responsibilities:

  • Project Planning & Execution:
    • Work with the Director of Creative Services and other stakeholders to create and maintain comprehensive project plans and detailed timelines to support integrated marketing campaigns and initiatives, including status reporting, identification of risk and adjustments to stakeholders.
    • Monitor project progress, re-evaluate priorities daily and make adjusting recommendations for resource allocation and timelines when necessary.
    • Integrate plans between Corporate Marketing and other cross-functional teams including Field Marketing, Product Management and Human Resources
    • Initiate and track purchase orders and invoices and monthly accrual process
    • Assign projects and tasks through the project management system to ensure that document and image libraries are up to date.
  • Financial and Calendar Management:
    • Maintain up-to-date project calendars and schedules using Jira, a cloud-based project management platform.
    • Coordinate meeting times and resource availability, collaborating with team members and cross-functional partners.
    • Work across Corporate Marketing and Finance managing the tasks associated with tracking the annual budget
  • Process Improvement:
    • Analyze project outcomes, identify gaps and suggest process enhancements that drive efficiency and better integration across teams.
    • Leverage Jira and other project management tools to implement best practices in planning and reporting.

Required Experience/Qualifications:

  • Up to three years of project management and financial task administration experience, preferably within a marketing or creative environment.
  • A bachelor’s degree in marketing, business administration, communications, or a related field is preferred.
  • Proficiency with Jira or similar project management systems.
  • Excellent organizational abilities.
  • Working level understanding of business and financial terminologies
  • Above average written and verbal communication skill.
  • Must be capable of presenting complex timelines and project plans to diverse audiences in a clear and engaging manner.
  • Ability to manage multiple projects simultaneously, suggesting priority adjustments and communicating changes as projects evolve.
  • Proactive approach to problem-solving and process optimization.
  • Day to day working level of expertise with Microsoft office tools including Excel (basic formulas, pivot tables and data manipulation), Word, PowerPoint, Teams, SharePoint.
