  • Assist clients with booking, cancellations, and class changes using the booking system.
  • Respond promptly to client inquiries via email, phone, or social media, resolving issues or escalating when necessary.
  • Draft and send weekly communications such as newsletters and manage social media groups.
  • Maintain accurate client records, process leave requests, and send reminders or follow-ups.

2+ years of experience in admin, customer service, or EA support roles (fitness/wellness industry a plus) Familiarity with Mindbody booking system (or similar tools like Acuity, Zen Planner, etc.) Excellent English communication (written and spoken) Highly organized, detail-oriented, and able to manage multiple tasks efficiently

Core responsibilities:

Booking System Support (Mindbody App): Assist clients with booking, cancellations, and class changes Manage membership freezes, leave requests, and system updates Monitor booking trends and flag any issues or overbooking concerns Customer Service: Respond promptly and professionally to client emails, phone calls, and social media messages Resolve inquiries related to memberships, schedules, payments, or class access Escalate more complex concerns to management when necessary Communication & Engagement: Draft and send weekly emails/newsletters (e.g., announcing new trainers, schedule updates) Set up and manage Facebook and WhatsApp groups for new member cohorts or programs Maintain a welcoming tone and consistent brand voice across communication platforms Client Administration: Track and process leave requests and membership suspensions accurately in the system Keep client records and communication history up to date Send reminders, follow-ups, and important notices as needed
