Event Support Sr Associate with German 

 

The primary purpose of this role is to ensure the smooth execution of Bayer's national and international events organized by Bayer’s German legal entities. The main scope of daily work includes managing all administrative tasks, maintaining accounting data, and handling Purchase Orders using SmartBuy. The role involves effective communication with stakeholders, processing invoices, and driving process improvements. Additionally, it encompasses compliance checks and managing the health care professionals travel costs reimbursement process. Close collaboration with external agencies is essential to ensure compliance and seamless event operations, contributing to Bayer's success in a dynamic environment. Expertise in event support and accounting is crucial for delivering successful and compliant events.

 

Your Tasks & Responsibilities

  • Complete all administrative tasks for national and international events promptly, ensuring compliance with regulations and smooth execution.
  • Maintain accounting data and work with SmartBuy for the creation and management of Purchase Orders.
  • Communicate with stakeholders, including agencies, project managers, and accounting, regarding invoices, purchase orders, and other inquiries.
  • Check and process external invoices, releasing them for payment.
  • Manage filing, data maintenance, content review, report creation, communication, and compliance documentation.
  • Drive continuous improvement of processes and services to remain competitive in a dynamic event environment.
  • Collaborate with internal stakeholders and external partners to ensure seamless event operations.

 

Who You Are:

Bayer seeks an incumbent who possesses the following:

  • University degree in Event Management, Tourism Management, or equivalent, and/or an apprenticeship in Event Management or office clerk.
  • Very good IT knowledge, including proficiency in MS Office, Cvent, and InEvent.
  • Very structured and self-driven work attitude, with the ability to manage deadlines
  • Professional and customer-focused mindset in handling participant management.
  • Excellent skills in English (written and spoken) and communicative German language skills are mandatory, with a minimum B2 level (written and spoken. preferred C1).
  • Knowledge in accounting or procurement area is beneficial
