Administrative Assistant
QA Claims is a full-service independent insurance adjusting firm specializing in managing daily claims for automobile, residential, and commercial property losses. We are experts at overseeing catastrophic losses including, but not limited to, fires, storms, hurricanes, hailstorms, and floods—and we quickly deploy team members into action anywhere in the United States.
We are seeking an administrative assistant who excels at multi-tasking, has strong communication skills, and maintains a positive and enthusiastic demeanor. This role will support a newly formed department responsible for our State Farm field, desk, and auto commitments. The assistant will play a critical role in organizing deployment logistics, maintaining and engaging adjuster resources, and supporting recruiting efforts to grow our roster.
The ideal candidate will be a self-starter with strong attention to detail, excellent timemanagement skills, and a proactive mindset. They must be able to handle shifting priorities, thrive in a fast-paced environment, and provide exceptional support to both internal stakeholders and external partners.
Job Responsibilities
• Provide high-level administrative support to the department lead, including scheduling, documentation, calendar management, and email coordination
• Assist in processing and tracking deployment requests from State Farm and other internal teams
• Coordinate logistics for adjuster deployments (field, desk, and auto), ensuring timely and accurate information is relayed to the right people
• Engage with adjuster resources not currently deployed to maintain relationships and promote loyalty to our brand
• Help recruit new adjusters by organizing recruitment campaigns, managing candidate databases, and assisting in onboarding tasks
• Maintain up-to-date rosters, deployment records, and other department documentation with the utmost accuracy
• Be a helpful, reliable point of contact for internal and external stakeholders, ensuring professionalism and responsiveness in all communications
• Continuously improve administrative processes and suggest efficiencies to help the department scale and succeed
• Other duties as assigned
Work Schedule
• Availability to work Monday-Friday, 8:00 AM – 5:00 PM. Schedules may vary based upon business needs and CAT/Hurricane season Requirements
• High school diploma
• Strong time-management skills and multitasking ability
• 2+ years in an administrative, operations, or support role (bonus points if it’s in insurance, claims, or deployments)
• Excellent computer skills
• Attention to detail
• Desire to be proactive and create a positive experience for others
• Ability to work in a phone intensive environment
Pay Range
• $15-$17/hr
