• ✅ Proven Experience as an Executive Assistant, Operations, or similar high-support role.

Responsibilities of the Executive Assistant:

Your responsibilities include:

• 📞 Coaching & Meeting Support
  • Provide day-to-day support during a high volume of early-morning coaching and leadership calls
  • Review Fathom call recordings and extract key action items for follow-up
  • Upload recordings to the internal coaching community platform and manage any related administrative steps
  • Track progress and ensure completion of all action items

• 👥 Onboarding & Community Coordination
  • Support onboarding of new coaching clients by creating groups, sending manual invites, and tracking client status
  • Track and follow up with clients who signed up but haven’t been contacted or are pending full onboarding
  • Send welcome messages and introductory materials to new members
  • Post coaching call recordings to the school platform and maintain updated resources
  • Answer general questions from coaching members and help manage the community experience
  • Compile weekly insights from Slack to share with leadership and mentors

• 📁 File & Content Organization
  • Upload full recordings and content clips from live coaching sessions and YouTube streams to the designated platforms
  • Maintain organized file structures for easy access and future use
    
• 📚 Content Repurposing & Adhoc Projects
  • Collect transcripts from YouTube Live sessions and input them into ChatGPT for content development
  • Assist in transforming transcripts into long-form written content, such as books or guides
  • Collaborate closely with the coach on special projects and content initiatives—training will be provided

• 📬 Inbox & Calendar Support (Bonus)
  • Monitor and clear both personal and work-related inboxes to ensure timely responses
  • Provide light scheduling support and flag important updates or conflicts as needed

• Time
  • Full-time; 6:30 AM – 3:30 PM CST
    • 📌 Fixed schedule on Wednesdays and Thursdays
    • ⏰ Flexible start time on Mondays, Tuesdays, and Fridays (can begin as late as 9:00 AM CST)
