Position overview:
We're seeking a proactive and highly organized Executive Assistant to support the President and executive team. This role is critical in optimizing time management, maintaining clear communication, and driving administrative efficiency. The ideal candidate will be a self-starter who can anticipate needs, manage complex schedules and inboxes, and contribute to project execution with minimal oversight.
Key responsibilities:
• Calendar Management: Schedule meetings, manage appointments, and coordinate travel and expenses.
• Inbox Management: Perform daily inbox sweeps, respond to emails, and flag urgent items to maintain Inbox Zero.
• Event Planning: Coordinate offsites, leadership meetings, and internal events.
• Project Assistance: Support the executive team with research, tasks, and project follow-ups.
• Document Management: Organize confidential files, reports, and presentations with discretion.
• Workflow Optimization: Identify and implement best practices for executive support.
• Anticipate Needs: Proactively manage requests to improve productivity.
Qualifications:
• Minimum 2 years of Executive Assistant experience.
• Fluent English, both written and verbal.
• Proficient in Microsoft 365 (Outlook, Teams, Excel, PowerPoint, OneNote, etc.).
• Strong organizational skills, follow-through, and attention to detail.
• Experience managing multiple priorities independently.
• Ability to handle confidential information with professionalism.
• Positive attitude, collaborative spirit, and strong communication.
Nice-to-haves:
• Experience with property management software (Lead Simple, AppFolio, Property Meld).
• Familiarity with EOS, HR software, or Okta.
• Experience working with attorneys or legal teams.
• Prior experience supporting executive teams in real estate or professional services.
