SHIFT HOURS: 8 am to 4 pm or 9 am to 6 pm

We are a commercial property management company managing multiple office buildings, vendor, and tenant relationships, facilities, and maintenance-related concerns. We’re seeking a detail-oriented and proactive self-starter to support our operations, communications, to-do lists, and organizational workflows as a Virtual Assistant.

    RESPONSIBILITIES:
    • Manage and prioritize daily emails (20 – 50+) using Outlook.
    • Organize and maintain task/to-do lists and schedules.
    • Coordinate vendor communications (plumbers, electricians, landscapers, etc.).
    • Follow up on work orders and ensure tasks are completed accurately on time and inspected. Create inspection completion reports.
    • Review and confirm invoices with vendors and site contacts.
    • Perform basic spreadsheet tasks using Excel (e.g., comparing multiple bids).
    • Schedule appointments and send follow-ups/reminders.
    • Place outbound calls to vendors and suppliers (e.g., for service calls or quotes).
    • Support light project coordination related to renovations, repairs, and tenant needs.
    • Assist in managing property-related inquiries and logistical tasks.
    QUALIFICATIONS:
    • Proven experience as an Administrative Assistant or Virtual Assistant.
    • Prior exposure to commercial real estate or property management is a strong advantage.
    • Strong English communication skills (spoken and written);
    • Excellent organizational and prioritization skills.
    • Proficient in Microsoft Outlook, Word, and Excel.
    • Familiarity with U.S.-based phone systems or willingness to use platforms like RingCentral.
    • Basic math and spreadsheet skills (e.g., calculating square footage or compiling vendor data).
    • High level of reliability, professionalism, and confidentiality.
    APPLICATION SOFTWARE KNOWLEDGEABLE/REQUIRED:
    • MS Office Tools (Outlook, Excel, and Word)
    • RingCentral or any similar VOIP
    • Trillo – Task To Do list organization software (easy to use / we will train if needed)
