Who You Are
We're looking for an energetic, detail-oriented individual ready to jump in and support a fast-paced talent buying operation. This is a hands-on role within a growing entertainment company, offering real experience across the booking process for someone eager to contribute and learn.
What You Are Accountable For
- Assist Talent Buyer with day-to-day tasks, including communication with agencies, management teams, and artist representatives.
- Build Artist Offers.
- Request artist avails.
- Review and redline artist contracts as directed, and track contract status throughout the contract lifecycle.
- Coordinate approvals for artist artwork and marketing assets for event announcements and on-sales.
- Provide on-site support at select events, assisting with artist and vendor arrival, credentialing, and event execution.
- Coordinate vendor paperwork such as Certificates of Insurance as required.
- Prepare settlement sheets.
- Assist with invoice compilation, vendor payments, and tracking financial paperwork related to events.
- Collaborate with ticketing teams to ensure accurate event listings and smooth on-sale execution.
- Communicate with all show personnel to confirm event details well in advance.
- Schedule and coordinate meetings, conferences, and appointments.
- Maintain and update holds on venue calendars.
- Arrange travel and process expense reports as needed.
- Update logs and master pricing sheets as directed.
- Conduct research on potential new artists, market trends, and industry analysis.
- Coordinate delivery of marketing materials from artists and their teams to internal departments; distribute marketing plans to artist representatives; obtain advertiser access on artist profiles; track outstanding marketing materials and approvals; serve as a liaison between the Talent Buying and Marketing teams to support show promotions.
- Perform other duties as assigned.
Abilities, Skills, And Knowledge
- Proficiency with Microsoft Office Suite.
- 1-2 years prior experience in live entertainment, booking, venue operations, or related field preferred - or a strong passion and drive to build a career in the music industry.
- Interest in attending industry events and networking to grow professional relationships.
- Tech-savvy with the ability to quickly learn new software tools.
- Strong organizational skills with the ability to prioritize multiple tasks in a fast-paced environment.
- Quick to familiarize yourself with key business contacts, both internal and external.
- Excellent collaboration skills; able to work effectively across diverse teams and stakeholders.
- Self-motivated with a positive, team-oriented mindset.
Working Conditions & Physical Requirements
- Flexible availability including nights, weekends, and holidays.
- Must possess a valid driver's license and have reliable transportation; occasional local errands, pick-ups, and event-day needs may arise.
- Able to lift up to 50 pounds occasionally.
- Ability to move around event spaces, including navigating stairs, uneven surfaces, and areas with loud noise or low light.
- Ability to sit and work at a computer for extended periods.
- Must be able to travel by air to other cities as needed for meetings, industry events, venue openings, and show coverage.
- Ability to maintain productivity while traveling, including working remotely from airports, hotels, and other offsite environments.
- Effective verbal communication in a busy work setting.
