What You'll Do
The Administrative Receptionist will perform essential functions to support Elica's administrative office in the Arden area of Sacramento. Some essential functions may include managing schedules, scanning and inputting Administrative records, coordinating meetings, and/or scheduling other appointments for managers in a variety of departments. The Administrative Receptionist should also have a general working knowledge of all departments within the organization. This will prepare them to handle general inquires they might receive, and direct those inquires to the appropriate department.

WHAT ARE WE LOOKING FOR?
The Successful Candidate Will Be Willing And Able To
Handles and answers external and internal phone calls; transfer calls to the appropriate department.
Demonstrates effective, helpful, and positive internal and external customer relations
Schedules and coordinates meetings/appointments
Uses customer service and interpersonal skills to screen visitors and callers effectively and quickly, answering questions or resolving problems, or directing to appropriate resource.
Works on multiple of projects simultaneously with continual interruptions
Assists in organizing and setting up meetings
Develops work processes that aid in the efficiency of the department
Composes oral and written communication at the direction of the manager
Inputs data and completes other clerical tasks as needed.
Sorts incoming mail, both US, deliveries, and internal mail.
Logs in all checks – accounts payable, and Medical Records
Maintains inventory of break room supplies. Maintains the inventory of office supplies.
Creates new employee badges every Monday. Receives requests for and creates replacement badges for current employees.
Provides excellent customer service and demonstrates the Elica values of respect, integrity, collaboration and service with internal and external customers.
Provides coverage for occasional early morning and evening meetings as needed
Respects and maintains confidentiality
Performs other duties as assigned.
The Successful Candidate Has
Calendar management and scheduling experience
At least 1 year of call center or Administrative reception experience
Experience with managing multi-phone line systems
Outstanding skills in customer service and customer service attitude.
At a minimum, intermediate proficiency in computer use including MS Office and GSuite applications.
Ability to maintain confidential information
Excellent problem-solving skills and resourcefulness in obtaining necessary information and knowledge in administrative and patient related matters.
Experience handling multiple tasks with frequent interruptions.
Bilingual preferred
Additional Requirements
Must have a current and valid California driver’s license and the ability to provide proof of personal auto insurance on the vehicle driven during working hours.
