Position Summary
Sepsis Alliance is seeking a highly organized, proactive Executive Assistant and Board Liaison who will manage all scheduling and calendar logistics for the Chief Executive Officer; take ownership of board administration—including meeting coordination, materials coordination, minute-taking, and governance tracking; and serve as the CEO’s right hand for task management and data-entry support. You will ensure that action items are captured, deadlines are met, and follow-up with internal and external stakeholders happens on a timely basis. Note that scheduling for the Senior Leadership Team is handled by an external contractor; you’ll collaborate with that contractor to coordinate any handoffs.

This part-time position (25 hours or less per week) is ideal for someone who thrives in a fast-paced, mission-driven environment and can juggle competing priorities with discretion and professionalism.

Key Responsibilities

Executive Support

  • Own the CEO’s schedule, blocking time for priorities and maintaining a task management system to track action items and follow-up deadlines.
  • Proactively remind the CEO of outstanding commitments, coordinate with colleagues and external partners, and confirm closure of key items.
  • Arrange CEO travel itineraries, manage bookings, and prepare expense reports.
  • Assemble agendas, presentations, and briefing documents; perform data entry and update executive dashboards or databases as needed.
  • Field and prioritize incoming requests on behalf of the CEO, ensuring clear communication and timely responses.

Board of Directors Liaison

  • Coordinate all board, advisory board, and committee meetings, including scheduling, logistics, agenda creation, meeting materials, and minute-taking
  • Track board member terms, contact information, roles, and compliance with governance documentation
  • Support onboarding of new board members and maintain board governance documents (e.g., bylaws, conflict of interest forms)
  • Communicate regularly with the Board Chair and committee leads
  • Maintain and organize board-related files in SharePoint or a designated board portal

Operations and Special Projects

  • Support cross-departmental administrative needs directly tied to CEO and board initiatives.
  • Track deadlines for strategic priorities, maintain key documentation, and highlight upcoming milestones.
  • Coordinate logistics for executive retreats, virtual off-sites, and leadership workshops.
  • Provide occasional project support during high-volume periods.

Qualifications

Ideal candidates will possess:

Required:

  • 3–5 years of experience supporting C-level executives and/or nonprofit boards
  • Strong scheduling and calendar management experience (including across multiple time zones)
  • Excellent written and verbal communication skills
  • Strong organizational skills and ability to multitask in a remote environment
  • High level of discretion, professionalism, and attention to detail
  • Proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, SharePoint) and Zoom

Preferred:

  • Experience working with nonprofit boards or governance processes
  • Familiarity with CRM tools (Salesforce, etc.)
  • Background in a mission-driven or healthcare-related organization

Compensation and Pay Transparency

The hourly rate for this part-time position is $20.00–$30.00/hour, commensurate with experience, responsibilities, and geographic location.
