Executive Assistant

Location: Remote (Eastern Europe preferred)
Contract: Full-time | Independent Contractor
Time Zone: CET | Work hours: 1 PM 2 AM CET

About You

You're a conductor of organized chaos. You take initiative before anyone asks, juggle multiple moving parts with calm and clarity, and thrive in leadership-by-example environments. You see a bottleneck, you fix it. You see a deadline slipping, you get it back on track.

  • You live in Eastern Europe (or nearby)

  • You're fluent in English

  • You're comfortable working in CET time zone (1 PM - 2 AM CET windows)

  • You're all about ownership, adaptability, and follow-through

  • You don't need industry experience as we will train you

  • You hate "it's not my job" as much as we do

Top 5 Objectives
  1. Ensure operational alignment: Check in regularly with all departments and consolidate key updates

  2. Compile progress reports: Synthesize weekly activity summaries across teams and flag issues

  3. Drive task momentum: Identify stalled work and initiate resolution proactively

  4. Maintain internal accountability: Keep tasks updated, deadlines realistic, and people focused

  5. Be the right hand: Support the founder with strategic scheduling, task prioritization, and internal comms

Main Responsibilities
  • Serve as the operational linchpin across 6 departments

  • Run weekly department check-ins and surface critical updates

  • Maintain task boards, assign and track deliverables

  • Consolidate and send weekly executive summaries

  • Identify inefficiencies and propose improvements

  • Act as the executives right hand for time management, task flow, and internal communication

Requirements
  • Exceptional organizational and communication skills

  • Self-starter with project management instincts

  • Experience with tools like Notion, ClickUp, Trello, or similar

  • Proactive, no-excuse mentality

  • Fluent English; bonus if you've worked in a remote-first environment

  • Flexible and available during CET working hours (1 PM to late evening)

  • Prior experience supporting founders or executives is a plus
