Real Estate Operations & Project Management Support

As we scale our operations, we’re looking for a proactive, resourceful, and tech-savvy Virtual Assistant to support project management, tenant coordination, and operational systems development. This is an exciting opportunity to work directly with the founder and help shape the future of a growing company.

Key Responsibilities:
  • Project Management Support:
    Assist in managing renovation projects including scheduling subcontractors, tracking timelines, and overseeing materials procurement.
    Maintain Asana boards and ensure task distribution and follow-ups are current and complete.
  • Property & Tenant Management:
    Coordinate tenant onboarding and respond to tenant inquiries and maintenance requests.
    Route service requests to contractors and ensure timely resolution.
    Use platforms such as Buildium for property administration and record-keeping.
  • Administrative Support:
    Manage calendar appointments, emails, and general administrative tasks for the founder.
    Support the creation and refinement of company processes and SOPs.
  • Marketing & Deal Sourcing:
    Assist with lead generation for real estate acquisitions, including cold calling and marketing outreach.
    Research on-market and off-market deals to support acquisition strategies.
  • Technology & Process Automation:
    Support the implementation of tech tools and software to streamline business operations.
    Utilize coding or Excel automation to develop tools like deal analyzers or process enhancements.
Ideal Candidate Profile:
  • Proven experience supporting real estate professionals, ideally in property or project management.
  • Comfortable with tools like Buildium, Asana, VOIP systems (e.g., GoToCall), and Excel.
  • A self-starter who can take ownership, suggest improvements, and solve problems creatively.
  • Excellent communication skills and responsiveness.
  • Familiarity with startup environments and adaptability to shifting priorities.
  • Tech-savvy; bonus if you have basic programming, coding, or automation experience.
