POSITION OVERVIEW FOR CONSTRUCTION PROJECT COORDINATOR

The Construction Project Coordinator provides essential support across both estimating and project management functions to ensure efficient project planning, execution, and reporting. This role will assist with bid coordination, project setup, document management, cost tracking, and communication for public works and commercial construction projects. The ideal candidate is detail-oriented, proactive, and able to manage multiple deadlines in a fast-paced environment.

GENERAL RESPONSIBILITIES FOR CONSTRUCTION PROJECT COORDINATOR

Plans, assigns, schedules, and supervises the work of unlicensed electricians and helpers engaged in the construction, installation, maintenance, and repair of electrical systems, instrumentation, and solar panel systems.


Bid & Estimating Support:

  • Coordinate and prepare bid proposals, ensuring all documentation meets public works requirements.
  • Track bid opportunities, RFIs, addenda, and deadlines.
  • Interface with estimators, project managers, and subcontractors to compile bid packages.
  • Maintain bid documentation and contractor qualification records.
  • Verify inclusion of licensing, bonding, and prevailing wage compliance documents.


Project Management & Controls Support:

  • Assist with project setup, scheduling, cost tracking, and reporting.
  • Maintain weekly work plans, cost reports, and client-facing project updates.
  • Help prepare project proposals, budgets, schedules, and client submittals.
  • Track progress of work performed and follow up on action items.
  • Coordinate internal meetings, training sessions, and project kick-offs.


Communication & Coordination:

  • Serve as a liaison between internal teams, clients, vendors, and subcontractors.
  • Transcribe and distribute meeting notes and action items.
  • Support accounts receivable, purchasing, and invoicing functions as needed.
  • Assist with organizing project records and ensuring document control.


OCCUPATIONAL COMPETENCIES FOR CONSTRUCTION PROJECT COORDINATOR

  • Strong organizational, time management, and multi-tasking skills
  • Working knowledge of construction documents, specifications, and terminology.
  • Proficiency in Microsoft Office (Excel, Word, Outlook); experience with project tools like Procore, Bluebeam, Accubid, or Microsoft Project.
  • Ability to communicate clearly and professionally with diverse stakeholders.
  • Capable of managing sensitive information with discretion.

Requirements
  • Associate’s or Bachelor’s degree in Construction Management, Business, or related field.
  • 2–3 years of experience in a construction coordination, estimating, or project support role.
  • Knowledge of California public works bidding and compliance (DIR, certified payroll, DBE).

  

TRAVEL REQUIREMENTS


Travel is primarily local; occasional out-of-area travel may be required.
