Client Overview:
Our client is a rapidly growing dental organization seeking an experienced Virtual Dental Office Manager. They need an energetic and motivated individual with at least 2 years of patient coordination experience in the dental field.

Position Overview:
We are looking for a detail-oriented and proactive Virtual Medical Manager to join our team. This role will primarily focus on calling patients with approved insurance authorizations and scheduling them for appointments. The ideal candidate will work closely with our existing team managing insurance approvals and ensure a smooth, organized scheduling process. Fluency in both English and Spanish is essential.


Responsibilities:
  • Review compiled lists of approved insurance authorizations and identify patients ready to be scheduled.
  • Call patients to confirm availability and schedule dental appointments in coordination with clinic workflows.
  • Maintain clear and professional communication with patients throughout the scheduling process.
  • Update appointment statuses and notes accurately within the EMR/EHR or dental management system.
  • Coordinate with office and clinical teams to resolve scheduling conflicts or rescheduling needs.
  • Ensure timely follow-up with patients who are unreachable or require appointment changes.
  • Maintain a high standard of customer service and professionalism in patient interactions.
Qualifications:
  • 2+ years of experience in a dental, medical, or healthcare scheduling or coordination role.
  • Fluent in both English and Spanish (spoken and written).
  • Strong interpersonal and communication skills, especially in handling calls with clarity and empathy.
  • Familiarity with dental or healthcare practice management software (Open Dental experience is a plus).
  • Highly organized and capable of managing multiple patient scheduling tasks efficiently.
  • Self-motivated and able to work independently in a remote or virtual environment.
  • High attention to detail, especially in maintaining patient records and scheduling notes.
Preferred Qualifications:
  • Experience with dental insurance workflows and prior authorizations.
  • Familiarity with HIPAA compliance and patient confidentiality best practices.
  • Prior experience coordinating appointments in a multi-site or remote dental setup.
