Job Summary:
We’re looking for a highly organized and experienced Administrative Assistant to support our executive team in a fast-paced, dynamic environment. This is a remote role reporting directly to the Executive Assistant. The ideal candidate will have 5–7 years of experience supporting senior leaders, with strong capabilities in calendar and travel management, excellent communication skills, and a proactive approach to problem-solving.

Clarus is seeking an enthusiastic and energetic Administrative Assistant to provide direct support to our executive team and manage operations within Eastern time zone location.

Location: Remote
 

Key Responsibilities:

  • Manage complex calendars, including scheduling internal/external meetings across multiple time zones
  • Coordinate detailed domestic and international travel arrangements, itineraries, and real-time changes
  • Handle confidential correspondence, reporting, and communications on behalf of executives
  • Prepare high-quality documents, presentations, agendas, and meeting notes
  • Serve as a liaison between executives and internal/external stakeholders
  • Track and process expense reports in a timely manner
  • Prioritize and respond to email and phone inquiries professionally and efficiently
  • Assist with coordination across departments and partner brands
  • Collaborate closely with other executive and administrative assistants across the organization
  • Take initiative to anticipate needs, solve problems, and manage logistics
  • Perform additional administrative and operational tasks as assigned
  • Expense Management

Qualifications:

  • 5–7 years of experience in a senior administrative or executive assistant role
  • Proven success in calendar and travel management at an executive level
  • Exceptional organizational, communication, and time-management skills
  • High level of discretion and integrity handling confidential information
  • Comfortable working independently in a remote, fast-moving environment
  • Strong proficiency in Google Workspace and Microsoft Office Suite
  • Bachelor’s degree or equivalent experience preferred
