Job description

The Bid Coordinator is responsible for managing and coordinating the end-to-end bid process. This includes tracking tender opportunities, preparing compliant and compelling bid documents, liaising with internal stakeholders, and ensuring timely submission. The role is key to supporting business growth by helping win new contracts and projects.

Key Responsibilities:

  • Coordinate and manage the entire bid process from opportunity identification to submission.

  • Analyze tender documents (RFPs, RFQs, ITTs) and understand submission requirements.

  • Work with technical, commercial, and legal teams to gather necessary content and inputs.

  • Maintain a bid schedule, ensuring all internal deadlines are met.

  • Draft, edit, and format proposal documents in line with client specifications.

  • Maintain a library of standard content, case studies, CVs, and past proposals.

  • Ensure all bids are submitted accurately, professionally, and on time.

  • Support the Bid Manager in post-submission reviews and feedback analysis.

  • Track and report on bid progress, win/loss ratios, and lessons learned.

  • Maintain confidentiality and compliance with all company policies and procedures.

Requirements:

  • Bachelors degree in Business Administration, Marketing, Communications, or a related field.

  • 13 years of experience in bid coordination, tender writing, or business development.

  • Excellent writing, editing, and proofreading skills.

  • Strong project management and organizational abilities.

  • Proficiency in MS Office (Word, Excel, PowerPoint); knowledge of Adobe InDesign is a plus.

  • Ability to work under pressure and manage multiple deadlines.

  • Detail-oriented with a high standard of accuracy.

  • Team player with strong interpersonal and communication skills.

Working Conditions:

  • Office-based role with occasional remote work options.

  • May require extended hours to meet submission deadlines.

  • Some travel may be necessary for client meetings or site visits.
