Job Description:

Summary:

Experienced in building clientele on a basic as well as more complex loan and sale transactions with a moderate level of supervision and support. Demonstrating continued development of operating their own unit and managing workflow to meet the needs of the customer. As the unit lead, collaborates and strategizes with management, sales, and marketing resources to increase revenue, is capable of consistently maintaining existing client base, and obtaining new business (selling from behind the desk). 

This is an in-office position based out of Reno, NV.

Essential Duties and Responsibilities:

  • At a minimum, the ability to work your scheduled work hours, Monday through Friday.
  • Dependable, reliable and punctual attendance is required, which may include in-office attendance or attendance at company, industry or other events that occur outside regular business hours.
  • Ability to accept supervision and direction, as well as constructive feedback.
  • Prepares and/or directs preparation of required documents, escrow instructions, prepare closing statements and disclosures. (i.e., settlement statements, tax reporting, etc.) detailing the accounting of the transaction in accordance with all state and federal regulatory requirements.
  • Prepare funding packages, provide conditions, receipt in lender funds, authorize loans to fund, and disburse funds.
  • Schedule appointments, assemble documents for signing for both in office signings and out of office signings including coordination of mobile notary services.
  • Conducts signings of documents with customers. 
  • Satisfies requirements for the issuance of title insurance including preliminary report/title commitment review and clearing. Assembles and submits completed Policy Write Up instruction to the Title Department. This includes reviewing all documents to be recorded for accuracy and completeness.
  • Correctly calculates the Company’s fees, charges, and title premium(s) pursuant to the applicable rate rules and guidelines regarding filed or posted rates applicable to the county and state. Advanced level of competency to independently calculate fees, charges, and premiums on more complex transactions beyond the automated and/or provided fee calculator tools and resources.
  • Uploads all documents in appropriate category in the electronic filing system.
  • Competently trains, guides, assigns, and reviews the work of escrow assistant(s) to support maximum efficiency and production of their unit/branch.
  • Actively assist with business development including but not limited to collaboration with Sales Executives, maintaining and growing existing client relationships, building new business, attending events, etc.
  • Attends industry or real estate functions representing the Company as directed/approved by management.
  • Ability to work overtime as requested by management.
  • Provides training and support to peers (transfer of industry knowledge and skills), guiding them to reach maximum efficiency and production.
  • Acts as a liaison between the client and the Company’s title and underwriting departments.
  • Fully executes and delivers on projects and initiatives in alignment with current role.
  • Complies with Company policies, procedures, regulatory requirements and completes mandatory company compliance training by prescribed deadlines.
  • Thoroughly documents all conversation and actions on a transaction file to ensure clarity, accountability, and transparency in all transactions.                                    

Knowledge and Skills Required:

  • Capable of coordinating, processing, closing and disbursing basic as well as more complex residential sale and refinance transactions with limited assistance or support, as defined by management.
  • Evolved proactive problem-solving skills.
  • Communicates and confirms information about a transaction with principals, agents, lenders, and/or other parties.
  • Verifies and reviews all information in the preliminary report/title commitment while clearing title requirements by researching discrepancies, obtaining lien releases, and clearing any other encumbrances. 
  • Task to Central Processing Unit, Title, and team members (as available and applicable).                                                                                              
  • Continues escrow education either through company training webinars/seminars/meetings or through outside sources as applicable and available.
  • Resourceful, analytical and takes the initiative to tackle challenges head-on, bringing innovative solutions and confident decision-making to our team, and maintaining resilience and attention to detail to anticipate and mitigate potential issues.
  • Develop skills to train, guide, assign, and reviewing the work of escrow assistant(s) to support maximum efficiency and production of their unit/branch.
  • Has skills to determine if we have met all escrow/title conditions required by principals, lenders, agents, and/or counsel on behalf of principals and lenders as represented by the parties.
  • Must have an advanced understanding of accounting principles (debits and credits).
  • Advanced knowledge of title insurance policies, and endorsements.
  • Advanced knowledge of escrow, closing documents and terminology.
  • Notary commission preferred.
  • Basic computer skills including proficiency in Microsoft Office Suite and Outlook.
  • Ability to work in fast paced environment while successfully performing under extreme time constraints and meets prescribed deadlines.
  • Strong attention to detail with excellent organizational skills, with ability to prioritize and handle multiple tasks and projects.
  • Ability to act independently with sound judgment and take initiative.
  • Written and verbal communications are clear, grammatically correct and business appropriate.
  • Stays current with regulations, procedures, and policies by using emerging technologies, learning resources, professional relationships, and other resources.
  • Demonstrates courtesy, flexibility, professionalism and is proactive and responsive to supervisor/manager, co-workers and customer needs and expectations.     

Communication and Interpersonal Skills:

  • Communicates professionally, actively listens, and is respectful in written, verbal, and non-verbal communications (mindful of body language, gestures, etc.), and is recognized by business partners, internal and external customers, peers, direct reports, and leaders as a collaborative partner. 
  • Always maintain the highest level of customer service. 
  • Always maintains confidentiality.     
  • Must be a personable, positive, and professional representative of the Company.
  • Actively listens and is mindful of the role body language, gestures and other nonverbal actions can play in communication.
  • Ability to adopt and adapt to changing industry trends, business skills and technology including facilitation and support for the staff to do the same. Will support, cooperate, engage, and contribute to Company goals, projects and initiatives related to technology, production processing standards to meet business needs.
  • Ability to foster, develop and maintain professional and collaborative working relationships. Must be able to get along with others, i.e., peers, employees, supervisors, outside customers, and vendors. Lead by positive example.
  • Ability to collaborate and interact effectively and professionally with all levels of management, employees and customers by email, phone, video conferences and in person.
