About AI4ALLAI4ALL is a national nonprofit that is transforming the pipeline of AI practitioners and creating a more inclusive, human-centered discipline. We empower students to be AI Changemakers by cultivating an environment where they develop skills in critical thinking and relationship-building, and expertise in responsible AI.
To accomplish this, we seek students from communities that have been excluded in the AI space. Then we help them build identity in the field, and tap into their own agency and initiative as they build technical and leadership skills. The OpportunityWe are seeking a part-time Program Associate to join our team and play a key role in supporting the successful delivery of the AI4ALL Ignite Accelerator program by coordinating admissions processes, managing program operations, overseeing a team of application reviewers, and liaising with students and staff. AI4ALL Ignite Accelerator is a virtual 20 week comprehensive program designed to equip college students whose race, gender, or ethnicity has been historically excluded from AI with the necessary skills and support to thrive in the AI/ML field.
Reporting to the Program Manager, the part-time Program Associate will focus on managing applicant and participant communication, maintaining accurate program records, training Application review staff, students, and volunteers on key program processes, and ensuring smooth logistical and administrative operations across all program areas. This role is ideal for a highly organized, tech-savvy, and detail-oriented individual who thrives in a collaborative environment and is committed to AI4ALL’s mission to transform the pipeline of AI practitioners and create a more inclusive, human-centered discipline.
This part-time position is fully remote and will run from late July 2025 through April 2026. The role requires approximately 15 hours per week. Most hours are asynchronous, but some synchronous hours will be required. Synchronous time may include meetings, virtual events, and training sessions, and will be included in the weekly time commitment.
What You’ll DoThe Program Associate will be responsible for:
Program Administration and Logistics Support (30%)- Ensure smooth program operations by managing logistics and communications across the AI4ALL Ignite program.
- Supporting projects such as: the virtual Program Kickoff and Student Symposium, the transition from the Portfolio Project component to the Career Readiness component, updating the Portfolio Project Repository, and maintaining accurate rosters.
Admissions Coordination (25%)- Communicate with program applicants regarding deadlines and their application status.
- Track and update admissions and enrollment metrics and provide regular updates to the Program Manager.
- Maintain and clean applicant data for accuracy and consistency in application platform.
- Collaborate with the Program Manager to ensure timely admissions decisions.
- Generate a comprehensive list of enrolled students upon the completion of the admissions cycle, ensuring accuracy and proper documentation.
Application Reviewer Training and Support (25%)- Support application reviewer onboarding
- Facilitate training to prepare application reviewers for executing the admissions process.
- Maintain and update application reviewer training materials to ensure clarity and relevance.
- Provide ongoing support to ensure application reviewers maintain consistency, accuracy, and timeliness in their reviews.
Volunteer Training and Management (20%)- Support selection of program volunteers.
- Coordinate onboarding of program volunteers.
- Update and distribute volunteer training materials.
- Provide ongoing support and supervision to ensure volunteers meet program needs.
Who You AreThe Program Associate position calls for a motivated individual who embodies the following knowledge, skills, and experience:
- 1-2 years of professional work experience in program coordination or administration.
- Demonstrated experience organizing and managing multiple deadlines, tasks, and projects, with great attention to detail.
- Excellent written and verbal communication skills.
- Comfort using spreadsheets and managing data (e.g., creating filters, cleaning data, reviewing for accuracy).
- Proficiency in using common productivity tools such as Google Workspace.
- Ability to work independently and collaboratively in a remote environment.
- Commitment to diversity, equity, and inclusion in education.
We’d prefer candidates who:- Possess an undergraduate degree or equivalent experience in a related field.
- Have familiarity with the project management tool, Asana.
- Demonstrate experience training or supporting seasonal staff or professional volunteers.
- Demonstrate initiative and ownership in remote roles, including identifying and addressing gaps or next steps proactively.
- Have familiarity with virtual event planning or support.
- Are passionate about increasing diversity and inclusion in artificial intelligence.
- Thrive in a fast-paced and ever-changing environment; adaptability is key.

Compensation, Work Environment, and LocationThis is a non-exempt position with an hourly rate of $35.00 per hour for approximately 15 hours per week. The position is not eligible for company benefits due to the nature and duration of employment.
AI4ALL is a remote-first organization, allowing staff from all over the United States to work together in a virtual environment. This position offers flexible hours and the opportunity to work remotely, making it ideal for those who thrive in independent and collaborative virtual environments.
Work is performed both independently and collaboratively. Work is performed on a computer, requires almost constant use of a keyboard, mouse, or other pointing device and may be performed sitting or standing.
