Job description

Project Support Officer

The ‘Stellar Project’ aims to streamline various business processes, migrate these to a common ERP solution, as well as to ensure more standardized and reliable master data. To facilitate this, we are now looking for a Project Support Officer, a temporary role that will last until the end of the year.

The Project Support Officer will support the stream leaders in daily activities related to the ERP implementation program. This role involves coordinating meetings, following up on actions, assisting stream leaders, managing timelines, and ensuring that project activities are completed on schedule.

Key Responsibilities

  • Meeting Coordination: Schedule and organize project meetings, prepare agendas, and document minutes
  • Action Follow-Up: Track and follow up on action items to ensure timely completion
  • Support Stream Leaders: Assist stream leaders and program management team with administrative tasks and coordination
  • Timeline Management: Monitor project timelines and milestones, ensuring adherence to schedules
  • Activity Monitoring: Ensure project team members are completing assigned tasks and activities
  • Documentation: Maintain project documentation, including reports, plans, and logs
  • Communication: Facilitate effective communication within the project team and stakeholders
  • Issue Tracking: Identify and track project issues, escalating as necessary
  • Tool Utilization: Use & maintain the monday.com program workspace for project management and collaboration

Formal Requirements

  • Bachelor's degree in Engineering, Project Management or a related field
  • 1-2 years of experience in project administration or a similar role
    Experience with ERP systems, especially implementation projects, is considered a strong merit
  • Technical Proficiency: Familiarity with project management software (Monday.com knowledge is a plus) and Office 365

Position Specs

  • Location – Preferably Warsaw (Poland), Milan/Turin (Italy) or Madrid (Spain)
  • Type of Work – Mostly remote, with occasional travels to above mentioned offices
  • Contract – Full time, but temporary until the end of 2025 (with possible extension)
