Position Overview

The Real Estate Transaction Coordinator is responsible for assisting the Real Estate Department in the organization and communication of site information, as well as oversight of various real estate tasks for company-owned locations in their assigned region with guidance and general oversight from their Director. The person will play an integral role in the real estate and development process, working collaboratively with the Site Acquisition Managers, Legal Team, Construction Coordinators and Construction Managers in the assigned region to obtain review and approval of sites by the Real Estate Committee and ensure project information and timelines are communicated and managed.

Key Result Areas (KRAs)

Support Site Acquisition Managers in the processing of real estate deals to include collection, communication and maintenance of site information details:

  • Understand the organization, operation, and processes of the Real Estate Department necessary to assist Site Acquisition Managers with deal-making transactions

  • Under the guidance of the Site Acquisition Managers, assemble, review for completeness and communicate information provided by brokers and landlords to various departments

  • Prepare and circulate various documents for review and signature

  • Add, update and maintain project information for each site within the project management software to ensure accurate information is available to team members and reported to the executive team

Prepare Real Estate Committee (REC) presentation materials and manage approval processes:

  • Gather demographic data from various software tools

  • Communicate with real estate and development teams to ensure project specific information, site plans, renderings, and budgets are complete for inclusion in REC presentations

  • Draft REC presentation documents for Site Acquisition Manager review and finalize for REC meetings

  • Track REC approvals/denials and notify various departments, as needed

Support Real Estate Team and Construction in tracking lease deadlines:

  • Coordinate with Legal to establish initial lease deadlines and prepare communication to the development team

  • Update project management software to accurately capture the status of deadlines in the schedule

  • Attend various project status meetings and partner with the development team to track actual status against lease deadlines and communicate needs for notifications, extension requests, etc. to Site Acquisition Manager

Manage the Real Estate team email, demographics software communication and other various shared documentation/folders:

  • Respond to requests and inquiries from the general public regarding site opportunities in a professional and timely manner

  • Maintain internal and external folders to ensure current real estate information is included and shared with partners

  • Communicate with demographics software contacts to ensure information, membership, etc. meets the Real Estate team’s needs

  • Attend ICSC, Retail Live and other retail conferences to share growth strategy and site specific information with potential land owners, developers and brokers

  • Prepare documents to share at ICSC, Retail Live and other retail conferences

  • Other duties as assigned

Job Qualifications

  • Minimum of 4+ years of progressively responsible knowledge and experience related to project coordination with a focus on QSR restaurants with high volumes;  or a combination of relevant work experience, education, and/or equivalent Military experience

  • Bachelor’s Degree in a related field preferred

  • Understanding of site evaluation and real estate negotiation procedures

  • Experience with land use, development processes, building permits, and construction project management is a plus

  • Experience with DocuSign and Lucernex project management software is a plus

This position is eligible for remote work from a major metropolitan area with a preference for candidates based in Chicago, IL; Atlanta, GA; Charlotte, NC; or Nashville, TN.

Compensation:

$30.26 - ​DOE
