Summary of Job Duties:
The Executive Assistant I / Fellowship Coordinator provides comprehensive administrative support to the Department Chair and Service Line Administrator in the Department of Pathology. This role also serves as the primary coordinator for the Pathology Fellowship Program. Responsibilities include managing calendars, communications, meeting logistics, and departmental events, while supporting educational and faculty initiatives. The ideal candidate is detail-oriented, professional, and able to manage multiple priorities in a dynamic academic environment.

Qualifications:
  • Bachelor's Degree PLUS two (2) years of administrative or related experience OR High School Diploma/GED Plus six (6) years of administrative or related experience

Preferred Qualifications

  • Bachelor’s Degree in Business Administration, Office Administration, or related field PLUS four (4) or more years of upper level or executive administrative support. 
  • Experience using Workday to process financial transactions.


Additional Information:

Responsibilities:

  • Provides direct support to the Department Chair and Service Line Administrator by maintaining calendars,
  • preparing correspondence, & scheduling meetings
  • Coordinates internal and external communications for the Chair & other administrators
  • Schedules monthly staff meetings and prepares agendas and presentations
  • Assists faculty as needed with administrative tasks such as promotion and tenure application.
  • Coordinates travel arrangements and itineraries for faculty candidates and visiting guests
  • Coordinates and assists with department events
  • Coordinates Pathology Fellowship Program by maintaining records of applications, interviews, and selection of
  • fellowship applicants.
  • Monitors fellows’ educational and clinical progress to ensure appropriate progress and assists fellows with
  • administrative tasks, such as ordering textbooks or registering for exams
  • Assists Department Chair with various educational programs by preparing agendas, scheduling lectures, reserving classroom space, and other associated tasks
