Job description

Position Summary

The Specialist III, Vendor Relations is responsible for managing end-to-end processes related to clinical screenings and background checks for learners. This role ensures timely coordination with vendors, internal teams, and learners to support payment facilitation, data entry, service completion, and clearance documentation for clinical placement readiness.

The salary for this position is between $32 to $33 per hour.

Essential Function and Responsibilities:

  • Coordinate with clinical screening and background check vendors to ensure timely and accurate delivery of services according to program requirements and SLAs
  • Generate and manage learner payment requests for required screenings and background checks; ensure payments are properly tracked and recorded
  • Work with internal collaborators to input learner data into vendor databases or portals to initiate required screenings
  • Monitor screening completion status through vendor systems and internal reports; follow up as needed to ensure timely processing
  • Track and reconcile learner payments with services delivered; escalate discrepancies and process vendor payments in coordination with function leader
  • Collaborate with the placements team to confirm when learners have met all screening and compliance requirements
  • Generate and distribute clearance letters to clinical sites for learners who are cleared for placement
  • Maintain accurate documentation of learner payment status, screening completion, vendor communications, and placement readiness
  • Serve as a liaison between learners, vendors, clinical sites, and internal teams, troubleshooting delays or issues in the screening process
  • Support onboarding and maintenance of vendor accounts, ensuring contract compliance, payment info, and systems access are up to date
  • Assist in data reporting and audit preparation, including costs, and completion rates
  • Contribute to continuous process improvement efforts around vendor workflows, learner onboarding, and placement readiness support
  • Attend relevant team meetings and collaborate cross-functionally with operations, placements, and clinical teams

Minimum Required Qualifications:

  • A minimum of a two-year degree from an accredited institution or relevant professional experience is required.
  • Demonstrated experience providing customer service to multiple stakeholders is required.
  • Demonstrated proficiency in supply chain analysis is required.
  • Demonstrated proficiency in professional, written communication is required.
  • Demonstrated experience with Microsoft Outlook and SharePoint is strongly preferred.
