Job Summary The Warranty Coordinator plays a critical role in managing the full lifecycle of warranty claims for Hirschbach's fleet of heavy trucks and trailers. This position is responsible for submitting, reviewing, documenting, and tracking warranty claims in compliance with manufacturer guidelines. Success in this role involves close collaboration with internal teams, shops, dealerships, and manufacturers to resolve warranty issues and ensure accurate recordkeeping.
Duties & Responsibilities
Oversee the complete warranty claim process, from submission and documentation to credit reconciliation and follow-up.
Review warranty claims for accuracy, completeness, and compliance with manufacturer requirements.
Coordinate with shop locations and the Road Assist Team to collect necessary documentation and repair details.
Communicate effectively with dealerships, suppliers, and OEMs to resolve claim inquiries and disputes.
Maintain organized records, including claim files, credit memos, payment checks, and part information.
Track claim status and proactively follow up to ensure timely processing and reimbursement.
Provide guidance and training to shop and fleet personnel on warranty procedures.
Perform additional duties and projects as assigned.
Talent Requirements
High school diploma or equivalent required; post-secondary education or certifications in heavy truck/automotive technology preferred.
Experience in warranty administration within the transportation or heavy-duty truck industry is a strong plus.
Strong attention to detail and ability to analyze and interpret technical documentation.
Excellent verbal and written communication skills with a customer-focused approach.
Proficient in Microsoft Office Suite, especially Excel is a plus.
Capable of prioritizing tasks, managing time efficiently, and working independently in a fast-paced environment.
