\r\nPrincipal Responsibilities:
\r\n• Provides front-desk coverage and serves as the first point of contact for all visitors, customers, executives, contractors, and external callers.
\r\n• Manages executive calendar and coordinates travel arrangements of unit manager.
\r\n• Maintains confidential items and acts as a Record Coordinator, ensuring compliance with the record management policy.
\r\n• Supports department meetings and events by reserving and preparing meeting rooms, coordinating logistics, and ensuring successful execution.
\r\n• Delivers daily administrative support, including:
\r\no Preparing budget and expense reports, reporting any overspending to leaders
\r\no Managing phone calls and visitor traffic
\r\no Supporting new hire onboarding
\r\no Handling procurement of goods and services
\r\no Submitting purchase requisitions, processing invoices, and confirming invoice accuracy before approval
\r\no Tracking purchase orders and ordering supplies for the entire building.
\r\no Sorting mail and scheduling meetings
\r\no Managing conference room schedules
\r\no Processing work requests from building personnel
\r\no Maintaining documentation per corporate requirements
\r\n• Works with vendors and third-party service providers to verify site safety requirements and coordinate access.
\r\n• Creates security access badge requests and monitors visitors for site safety and security compliance.
\r\n• Multi-tasks and responds to evolving priorities.
\r\n• Maintains a clean and orderly work area, follows site safety rules, and promotes their observance.
\r\n• Performs other work-related duties as assigned.

\r\nQuals--
\r\nIn this fast pace environment, the incumbent will provide administrative assistance and clerical support as necessary to meet objectives of the research unit. They will work in close partnership with the unit leaders and security to ensure that company procurement requirements and security and safety processes comply with corporate guidelines. Furthermore, the incumbent will follow corporate policies and enforce them as needed while remaining current with the latest technological advancements.

\r\nRequired Qualifications:
\r\n• High School Diploma
\r\n• 3-5 years of administrative and/or procurement experience
\r\n• Strong time-management and organizational skills
\r\n• Excellent communication (written and verbal) and customer service skills
\r\n• Detail-oriented with the ability to read and interpret company policies, procedures, and guidelines
\r\n• Proficient in Microsoft Office software (Word, Excel, PowerPoint, Outlook)
\r\n• Ability to lift and/or move up to 30 pounds
\r\n• Working knowledge of corporate spending reports
\r\n
\r\nPreferred Qualifications:
\r\n• Bachelor's Degree in Business Administration, Management, or related field
\r\n• Front desk receptionist experience
\r\n• Proficiency in SAP platforms (procurement and maintenance functions) and HCL Notes
\r\n• Strong data analysis skills
\r\n• Shipping & Receiving and/or mailroom experience
\r\n• Experience managing building access control systems
\r\n• Vendor management experience
\r\n• Experience working in a 6S and safety-conscious environment
\r\n
